Scheduling & Permitting Coordinator

We're looking for a Scheduling & Permitting Coordinator who enjoys bringing order to complex projects, coordinating across multiple teams, and ensuring every project has the permits, schedules, documentation, and communication needed to keep production moving.

This position plays a critical role in supporting our Operations Manager while working closely with our Area Construction Managers, Field Managers, and Purchasing & Estimating team. You'll become the central point of coordination for scheduling, permitting, reporting, and project management systems, helping ensure every project stays on track from preconstruction through completion.

What You'll Do

Scheduling Coordination

  • Create and maintain preconstruction and construction schedules within our project management software.
  • Work closely with Area Construction Managers to understand project-specific requirements and scheduling needs.
  • Meet weekly with Field Managers to ensure schedules, daily logs, and project management software remain accurate and up to date.
  • Consult with subcontractors regarding upcoming work and scheduling expectations.
  • Identify scheduling conflicts and proactively resolve issues before they impact production.
  • Audit schedules and provide reporting that helps improve scheduling accuracy and subcontractor coordination.

Permitting Coordination

  • Become highly knowledgeable in the permitting requirements of multiple municipalities and jurisdictions.
  • Review each project's unique scope to determine the appropriate permit applications and submission requirements.
  • Prepare, submit, and obtain all required building permits.
  • Track permit timelines, review durations, approvals, and pass rates.
  • Respond promptly to requests for additional information from permitting authorities to minimize resubmittals and delays.
  • Maintain permit documentation throughout the construction process.
  • Keep clients informed during the permitting process through project daily logs.

Operations & Project Management Support

  • Create weekly Field Manager meeting notes before and after production meetings.
  • Provide regular reporting to the Operations Manager regarding scheduling performance, permitting metrics, and project management software data.
  • Manage project management software after initial project setup, including project files, dashboards, documentation, and data integrity.
  • Ensure project information is accurate, current, and easily accessible for all internal stakeholders.
  • Collaborate daily with the Operations Manager, Area Construction Managers, Purchasing & Estimating team, and Field Managers to support efficient project execution.
What We're Looking For

We're looking for someone who thrives in a fast-paced construction environment and enjoys coordinating multiple moving pieces while maintaining exceptional attention to detail.

Qualified candidates will have:

  • 2+ years of experience in residential construction, construction administration, project coordination, permitting, scheduling, or operations.
  • Experience working with municipal permitting processes or the ability to quickly learn multiple jurisdictional requirements.
  • Strong organizational and time management skills.
  • Excellent written and verbal communication skills.
  • Experience using Microsoft Office and construction project management software such as JobTread or similar platforms.
  • The ability to manage multiple priorities while maintaining accuracy.
  • Strong problem-solving skills and the confidence to work with internal teams, municipalities, subcontractors, and clients.
  • High integrity, professionalism, and a collaborative mindset.
Compensation & Benefits

Salary: $60,000-$75,000 annually (commensurate with experience)

Benefits include:
