Operations Project Specialist

Position Summary


Aspenall Energies Services is seeking a proactive and detail-oriented Operations Project Specialist to support operating renewable energy projects through planning, coordination, execution tracking, documentation, invoicing, and budget tracking.

This role is highly Excel-driven and works closely with operations, compliance, accounting, and technical teams to maintain accurate records, compile operational data, keep projects on track, align budgets, and ensure documentation remains current. The successful candidate takes ownership of assigned work, identifies and communicates issues early, and brings practical recommendations to resolve obstacles and improve processes.


Key Responsibilities


Operations Coordination and Scheduling


  • Manage onboarding activities associated with late-stage M&A and development.
  • Coordinate and schedule routine work, maintenance, and inspections across operating projects, considering site priorities, safety requirements, and project schedules.
  • Track field activities, purchase orders, work orders, vendor visits, inspections, and deliverables to help ensure on-time completion and proper documentation.
  • Identify schedule conflicts, execution risks, or other issues and escalate them to the appropriate team members or senior leadership.
  • Communicate with site personnel, vendors, contractors, and internal stakeholders regarding upcoming work, site access, and schedule updates.


Purchase Orders, Budgets, and Invoices


  • Support the creation and reconciliation of purchase orders for operational activities and services.
  • Help ensure PO scope, pricing, coding, and supporting documentation are accurate.
  • Review the anticipated budget impact of POs and support budget modifications or reclassifications as necessary.
  • Reconcile vendor invoices against POs and contracts; identify unexpected charges or discrepancies and coordinate resolution with internal teams and vendors.


Data Management, Reporting, and Analysis


  • Download and organize operational project data from SCADA, metering, and other technical systems.
  • Support internal and external reporting, including compliance filing templates, energy-generation tracking, and draft energy invoices.
  • Build and maintain Excel tracking tools, reports, and dashboards using formulas, pivot tables, lookups, filters, and charts.
  • Maintain accurate project records, including reports, change requests, insurance documentation, and project archives.


Contractual Documentation and Stakeholder Support


  • Review and reference contractual documentation to verify scope, commercial terms, and obligations related to POs, invoices, and project work.
  • Maintain current stakeholder records, including landowners, vendors, contractors, and regulatory contacts.


Project Administration and Process Improvement


  • Facilitate project meetings and ensure agendas, action items, and follow-up communications are clear.
  • Map workflows and risk matrices to identify bottlenecks, reduce risk, and improve processes.
  • Perform other operational support and administrative activities as assigned.


Required Qualifications


  • Bachelor’s degree in business, engineering, finance, or a related field; equivalent combinations of education and relevant experience will be considered.
  • Two or more years of experience in project coordination, operations support, accounting/finance support, or a related role.
  • Strong Microsoft Excel skills, including formulas, pivot tables, lookups, filters, and basic charts.
  • Experience coordinating schedules, managing purchase orders and invoices, or supporting budgets in an operational or project environment.
  • Ability to learn and use new software systems and tools, including SCADA or other technical data platforms.
  • Strong written and verbal communication skills, including the ability to prepare clear reports, summaries, and recommendations.
  • Strong attention to detail, organization, ownership, and problem-solving skills.


Preferred Qualifications


  • Experience in wind, solar, renewable-energy operations, power generation, or energy markets.
  • Experience with SCADA systems, asset-management platforms, or energy metering/reporting tools.
  • Familiarity with contract concepts, including scopes of work, payment terms, and change orders.
  • Familiarity with regulatory or compliance documentation.
  • Experience supporting cross-functional teams in operations, engineering, accounting, or compliance.
  • Experience with advanced Excel, Power Query, Power BI, or similar data-visualization tools.
