THE POSITION

As a Clerical Assistant 2 with the Office of the Lt Governor, Board of Pardons, you will contribute to meaningful work that supports individuals seeking second chances. This position provides an active environment where your organizational skills help maintain accurate records and assist the review process. DESCRIPTION OF WORK

This position supports the daily operations of the Board of Pardons by managing important clerical tasks and helping maintain accurate records. The role promotes efficient processing of applications, correspondence and office needs through careful attention to details and procedures. As a Clerical Assistant 2, you will perform the following duties:

  • Mail Processing: Sort mail, process items efficiently and distribute materials appropriately
  • Application Intake: Process clemency applications by reviewing court documents, confirming completeness and organizing files for administrative review
  • Correspondence Review: Interpret letters, apply correct templates and draft responses with accurate grammar and formatting
  • Record Updates: Upload granted charters at Governor Action and maintain accurate system records
  • Information Access: Use JNET and CLEAN systems to request criminal history or driving record information for applicants
  • File Maintenance: Purge outdated documents or transfer required items to the State Records Center

Work Schedule and Additional Information:

  • Full time employment, 37.5 hours per week.
  • Work hours are 8:30 AM to 4:30 PM, Monday - Friday, with a 30-minute lunch.
  • Telework: You will not have the option to telework in this position.
  • Salary: Selected candidates who are new to employment within the Commonwealth of Pennsylvania will begin employment at the starting annual salary of $36,831 (before taxes).

REQUIRED EXPERIENCE, TRAINING & ELIGIBILITY

QUALIFICATIONS
Minimum Experience and Training Requirements:

  • Six months as a Clerical Assistant 1 (Commonwealth job title or equivalent Federal Government job title, as determined by the Office of Administration); or
  • Graduation from high school; or
  • An equivalent combination of experience and training.

Special Requirements (NSRs):
  • Must possess keyboarding skills to meet standards for speed and accuracy.

Additional Requirements:
  • Must understand how to efficiently use and navigate a personal computer.
  • Previous experience using Microsoft Office, specifically Word, Excel, Outlook, and Teams.
  • Previous communication tools skills, such as video conferencing, and creating meetings in Teams.
  • Previous experience combining & manipulating documents in Adobe Pro.
  • You must be able to perform essential job functions.

Preferred Qualifications (not required):
  • Familiar with criminal court documents.
  • Experience using Microsoft Dynamics.

  • You must pass a background investigation and meet Criminal Justice Information Services (CJIS) compliance requirements.
