About the Job
Position Summary:
The Medical Receptionist serves as the first point of contact for patients, caregivers, and visitors in a multidisciplinary outpatient therapy clinic. This role is responsible for providing a welcoming, organized, and professional front-office environment while supporting clinical operations, scheduling, and communication across Speech Therapy, Occupational Therapy, and ABA services.
Essential Duties and Responsibilities:
Patient & Family Support:
  • Greet patients, families, and visitors in a friendly and professional manner.
  • Answer incoming phone calls, emails, and messages; route appropriately.
  • Provide basic information regarding clinic services, policies, and scheduling.
  • Assist caregivers with intake forms, consents, and general questions.
Scheduling & Coordination:
  • Schedule, confirm, and reschedule therapy appointments across disciplines.
  • Coordinate multi-provider schedules (SLP, OT, BCBA, RBT) efficiently.
  • Manage waitlists and cancellations while maintaining clinic productivity.
  • Communicate schedule changes to therapists and families promptly.
Administrative & Front Office Tasks:
  • Maintain accurate patient demographic and contact information in the EMR.
  • Collect and document copays, private pay fees, and payments when applicable.
  • Scan, upload, and organize clinical and administrative documents.
  • Ensure front desk, waiting area, and materials remain clean and organized.
Insurance & Documentation Support:
  • Verify insurance eligibility and benefits as directed.
  • Assist with authorization tracking and documentation requests.
  • Obtain and process referrals, physician orders, and prior authorizations as needed.
  • Maintain HIPAA compliance and confidentiality at all times.
Clinic Communication & Professionalism:
  • Communicate effectively with therapists, clinical supervisors, and management.
  • Demonstrate professionalism, reliability, and respect in all interactions.
  • Support clinic policies related to attendance, safety, and professionalism.
  • Escalate concerns or issues to leadership as appropriate.
Qualifications:
Required:
  • High school diploma or equivalent.
  • Strong verbal and written communication skills.
  • Excellent organizational and multitasking abilities.
  • Basic computer proficiency (EMR systems, scheduling software, email).
  • Ability to interact compassionately with children, adults, and families.
Preferred:
  • Previous experience in a medical, therapy, or behavioral health setting.
  • Knowledge of insurance verification or medical scheduling.
  • Experience working in a pediatric or multidisciplinary clinic.
