Job description

The Medical Receptionist serves as the first point of contact for patients, visitors, and callers. This role is responsible for creating a welcoming and professional front-office experience while supporting daily administrative operations, patient scheduling, registration, communication, and accurate recordkeeping in a healthcare setting.

Key Responsibilities:
  • Greet patients and visitors in a courteous, professional, and compassionate manner while helping set a positive office atmosphere.
  • Manage patient check-in and check-out, including verifying demographic information, ensuring required paperwork is completed, and providing patients with necessary forms or information.
  • Obtain patient information and accurately enter or update it in the database, electronic health record, or practice management system.
  • Ensure completeness and accuracy of patients’ insurance information during registration and check-in.
  • Schedule follow-up appointments and assist with confirming, canceling, or rescheduling appointments as needed.
  • Answer, screen, and route incoming calls; take accurate messages and redirect calls appropriately.
  • Assist with patient referrals, records requests, prior authorization paperwork, scanning, faxing, filing, and related administrative duties.
  • Organize, maintain, pull, and update patient files and records, including preparing records for doctors’ review.
  • Support charting and medical note documentation as directed and within scope of role.
  • Manage filing and recordkeeping activities to maintain accurate and accessible office records.
  • Coordinate communication between patients, clinical staff, providers, billing staff, and outside offices as needed.
  • Collect copays, deductibles, balances, and other payments according to office procedures.
  • Operate office equipment, including photocopiers, printers, scanners, fax machines, and related front-office equipment.
  • Help maintain a clean, organized, and professional reception area.
  • Protect patient confidentiality and follow HIPAA and office compliance requirements at all times.

Required Qualifications:
  • High school diploma or equivalent required.
  • Previous experience in a medical office, healthcare setting, or customer service role preferred.
  • Basic knowledge of medical terminology, insurance verification, and patient registration preferred.
  • Experience using electronic health record or practice management software preferred.
  • Strong computer skills, including accurate data entry and familiarity with Microsoft Office or similar tools.
  • Solid knowledge of Microsoft Office.
  • Outstanding communication skills.
  • Great organizational and multitasking abilities.
  • Ability to complete local travel as needed.
