Administration Support Specialist

RMGS, Inc. is currently recruiting an Administration Support Specialist to provide administrative support for Active and Reserve personnel in Little Creek, VA. This position supports the Command Leave Administrator and Command Pay/Personnel Administrator (CPPA) functions and provides administrative, pay, personnel, and readiness support to command personnel.

Roles and Responsibilities
  • Draft and distribute Welcome Aboard letters to newly arriving personnel.
  • Process administrative documentation, including designation letters, Plan of the Week, instructions, directives, special requests, evaluations, and awards.
  • Assist with Command Leave Administrator functions.
  • Perform and assist with Command Pay/Personnel Administrator (CPPA) functions, including facilitating Navy pay and personnel transactions and providing guidance to command personnel regarding changes to Navy pay and personnel policies and procedures.
  • Assist in maintaining administrative readiness for all command personnel, including passports, Government Travel Cards, and Family Care Plans.
  • Maintain and update the command Recall Bill.
  • Review, submit, track, and complete pay and entitlement transactions submitted to PSD through the Transaction Online Processing System (TOPS).
  • Review, submit, track, and complete Electronic Service Record (ESR) updates submitted to PSD through TOPS.
  • Conduct quarterly reviews of pay accounts for all assigned personnel to identify and resolve discrepancies.
  • Review message traffic related to PCS orders, screenings, and other pay and personnel matters, including NAVADMINs, MPAs, and PIPs.
  • Review and update PERSTEMPO reports to ensure personnel time away from homeport is accurately documented.
  • Review the TAD tracker and submit applicable start/stop transactions to ensure appropriate pay and entitlement changes are processed for personnel in TAD/TDY status, including sea pay, meal collections, family separation allowance, and hostile fire pay.
  • Generate and review the Unit Commander Financial Report (UCFR) to identify potential pay and leave discrepancies.
  • Generate and review the Expiration of Active Obligated Service (EAOS) Report to identify personnel who may be extending, reenlisting, separating, or retiring, and post results monthly.
  • Submit command-approved reenlistment and extension requests to PSD and track them through completion, including signing, release, and posting of contracts.
  • Assist personnel with the review and validation of NAVPERS 1070/602 (Page 2) and Servicemembers' Group Life Insurance (SGLI) information upon reporting, when changes occur, annually, and upon detachment.
  • Monitor annual Page 2 and SGLI completion and assist the command in achieving 100 percent compliance.
  • Generate and review the Prospective Gain Report monthly and update approved information in the administrative tracker.
  • Initiate, submit, and track PCS gain transactions for newly reporting personnel to ensure pay and personnel accounts are accurately updated.
  • Submit and track travel claims through TOPS.
  • Generate and review Prospective Loss Reports monthly and update approved information in the administrative tracker.
  • Initiate, submit, and track PCS transfers for detaching personnel, ensuring screening, obligated service, travel, and applicable pay advance requirements are processed and posted.
  • Initiate, submit, and track separations and retirements, ensuring health screening, travel requirements, DD Form 214 inputs, and applicable pay advances are processed and posted.
  • Attend CPPA training at PSD or through approved online training, as required.
  • Assist with the review and submission of Special Duty Assignment Pay (SDAP) recertifications in accordance with current NAVADMIN guidance.
  • Review Good Conduct Reports and prepare command-approved Good Conduct Awards for presentation.
  • Validate Daily Muster Reports to ensure accurate personnel accountability.
  • Assist with reviewing Time-in-Rate (TIR) Eligibility Listings for the ordering of Navy-wide advancement examinations.
  • Assist with the preparation and signing of advancement examination worksheets for eligible candidates.
Required Qualifications and Experience
  • Experience providing administrative support in a military or Navy environment.
  • Working knowledge of Navy pay, personnel, leave, and administrative processes preferred.
  • Experience with Navy personnel systems and administrative tracking tools preferred.
  • Strong attention to detail and accuracy when processing personnel, pay, and administrative documentation.
  • Ability to manage multiple administrative requirements, deadlines, and personnel transactions simultaneously.
  • Strong organizational, communication, and customer service skills.
  • Ability to handle sensitive personnel and pay information with discretion and professionalism.
  • Familiarity with Navy administrative terminology, policies, and procedures preferred.
