ADMINISTRATIVE SECRETARY

THE OAKS AT PLEASANT GAP

FULL TIME – 1st SHIFT

MONDAY THROUGH FRIDAY

8am to 4pm

The Oaks at Pleasant Gap, a personal care and independent living community, is actively seeking candidates for a full time Administrative Secretary. This position will perform secretarial duties, record-keeping functions, administrative detail, and follow-up functions to assist the Personal Care Home Administrator (PCHA) in meeting the administrative needs of the community.

Responsibilities:

  • Assists the PCHA in the planning, developing, organizing, implementing, evaluating, and performance of administrative tasks.
  • Completes Human Resources tasks including recruitment, onboarding, and orientation.
  • Develops/maintains a good working rapport with all personnel.
  • Interprets the community’s policies and procedures to personnel, family members, residents, visitors, etc. as directed by the PCHA.
  • Consults with department supervisors concerning their administrative needs.
  • Establishes and maintains a detailed filing system.
  • Represents the community at and participates in meetings as required.
  • Coordinates staff meetings, conferences, and schedules as directed.
  • Ensures administrative functions are completed promptly and efficiently.
  • Answers the telephone, directs calls, and takes accurate messages.
  • Types, files, and distributes correspondence as directed.
  • Ensures outgoing mail is ready for pick up at the designated time.
  • Sorts and distributes incoming mail.
  • Receives, screens, and directs visitors, volunteers, sales people, etc.
  • Maintains and operates various types of office equipment.
  • Schedules appointments and arranges transportation for residents.
  • Maintains petty cash.
  • Assists in coordinating and planning activities of the facility as directed.

Qualifications:

  • Two-year degree from an accredited business/secretarial school and one year of experience in administrative support or a minimum of two years of related work experience.
  • Strong organizational skills, excellent written and verbal communication skills, and well-versed in MS Office software.
