About the job

This role serves as the subject matter expert for payroll processing, payroll tax administration, wage garnishments, Records of Employment (ROEs), payroll compliance, data validation, audits, regulatory reporting, and payroll-related system administration.
The successful candidate will possess extensive experience managing complex payroll operations in both the U.S. and Canada and will work closely with HR, Benefits, Finance, employees, external vendors, and government agencies to ensure payroll is processed accurately, timely, and in compliance with all federal, state, provincial, and local regulations. This role is responsible for the day-to-day operational management of payroll and serves as a trusted resource for employees, managers, HR Business Partners, and business leaders.
This is an on-site hybrid role in Richmond, VA or Houston, TX.
As a part of the team, you will:
  • Independently manage the full-cycle payroll process for employees across the United States and Canada, ensuring accurate and timely payroll delivery.
  • Validate and process payroll transactions including hires, terminations, transfers, compensation changes, benefits deductions, tax updates, and time and attendance records.
  • Perform payroll audits, reconciliations, balancing activities, and post-payroll validation to ensure data accuracy and compliance.
  • Serve as the primary subject matter expert for U.S. federal, state, and local payroll tax requirements and Canadian federal and provincial payroll regulations.
  • Manage payroll tax filings, deposits, remittances, year-end reporting, W-2s, T4s, RL-1s, and other regulatory submissions.
  • Administer wage garnishments, tax levies, child support orders, and other statutory deductions while ensuring compliance with applicable regulations.
  • Manage Canadian payroll processes, including the preparation and submission of Records of Employment (ROEs), employee status changes, leaves, and terminations.
  • Conduct ongoing audits and reconciliations between payroll, HRIS, timekeeping, benefits, and finance systems to maintain data integrity.
  • Prepare standard and ad hoc payroll reporting, analyze payroll trends, and provide recommendations to improve operational efficiency and reduce risk.
  • Serve as the payroll system subject matter expert, including administration and optimization of ADP Workforce Now and related interfaces.
  • Develop and maintain payroll procedures, controls, process documentation, and compliance standards while supporting payroll-related projects, acquisitions, and system implementations.
  • Investigate and resolve payroll inquiries and escalations while delivering exceptional customer service and partnering closely with HR, Benefits, Finance, Accounting, and external vendors.

At Alfa Laval, we pride ourselves on creating an inclusive and dynamic workplace that values diverse perspectives and experiences. While we typically welcome applicants from all locations, currently, we are prioritizing candidates who reside in the US or have an established presence in the area.
What you know:
You have a Bachelor's degree in Accounting, Finance, Human Resources, Business Administration, or equivalent relevant industry experience, and:
  • Minimum 7 years of progressive payroll administration experience.
  • Demonstrated hands-on experience managing full-cycle payroll processes in both the United States and Canada.
  • Extensive experience with payroll tax compliance, reporting, and regulatory requirements across multiple U.S. states and Canadian provinces.
  • Proven experience administering wage garnishments, tax levies, child support orders, and other statutory deductions.
  • Experience preparing and processing Records of Employment (ROEs) and managing Canadian payroll reporting requirements.
  • Experience managing payroll audits, tax notices, agency correspondence, and compliance reviews.
  • Advanced Microsoft Excel skills are required, including data analysis, reconciliations, pivot tables, and complex formulas.
  • Strong knowledge of payroll systems required, with ADP Workforce Now experience preferred.
  • Experience with payroll accounting, general ledger reconciliations, and payroll-related financial reporting preferred.
  • Certified Payroll Professional (CPP), Fundamental Payroll Certification (FPC), Payroll Compliance Practitioner (PCP), Certified Payroll Manager (CPM), or other related payroll certifications preferred.
  • Experience with ServiceNow or similar case management systems preferred.
  • Ability to work independently with minimal supervision while effectively partnering across multiple functions.
