Operations Support Specialist
Location: Cleveland, OH (on-site)

We’re seeking an organized and customer-focused Operations Specialist to join our Payroll Operations team. This role provides operational and administrative support across payroll processing, client account maintenance, reporting, and year-end activities while serving as a key resource for both clients and internal teams. This position offers the opportunity to develop hands-on experience with payroll operations, HCM platforms, and client support while building the skills necessary for continued career growth.
Responsibilities
  • Provide professional support to clients via phone and email by responding to payroll-related questions, requests, and account inquiries.
  • Assist with payroll processing, payroll adjustments, and routine client account maintenance while ensuring accuracy and timely completion.
  • Learn and maintain payroll system configurations, including employee deductions, retirement plans, accruals, and other payroll-related settings.
  • Research, troubleshoot, and resolve payroll and account-related issues while meeting established service expectations.
  • Review payroll reports to verify data accuracy, identify discrepancies, and ensure compliance with company procedures.
  • Generate standard and custom reports using reporting tools and validate results prior to delivery.
  • Support year-end payroll activities, including tax form requests, payroll report generation, employee record updates, and other seasonal processing tasks.
  • Maintain accurate documentation of client interactions, requests, and resolutions within CRM and payroll management systems.
  • Collaborate with payroll, operations, and other internal departments to support client needs and improve operational efficiency.
  • Participate in cross-training opportunities to gain exposure to payroll operations, distribution processes, and additional service offerings.
  • Assist with departmental initiatives, operational improvements, and special projects as assigned.
  • Complete ongoing training to expand knowledge of payroll processes, HCM technology, compliance requirements, and company solutions.
Requirements
  • High school diploma or equivalent.
  • Previous experience supporting payroll operations, HR, HCM, or a related administrative function.
  • Experience working with payroll or HCM software platforms.
  • Strong customer service skills with the ability to communicate professionally with clients and internal stakeholders.
  • Strong attention to detail and the ability to identify and resolve issues effectively.
  • Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
Preferred Skills
  • Experience supporting payroll processing in a multi-client or high-volume environment.
  • Familiarity with payroll reporting, employee record maintenance, and year-end payroll processes.
  • Experience in a payroll/HCM platform.
  • Exposure to CRM systems or client service management tools.
  • Knowledge of payroll compliance, tax reporting, or employee benefits administration.
