Job description

BEI Construction is seeking a Payroll Administrator to join our payroll department. The Payroll Administrator is responsible for supporting accurate, timely, and compliant payroll operations, including timekeeping review, payroll processing, employee payroll records, certified payroll reporting, union reporting, tax and garnishment payments, and employee payroll inquiries.
This role requires strong attention to detail, discretion with confidential information, and the ability to work collaboratively with employees, management, project teams, HR, and accounting. This position is based on-site at our corporate headquarters in Alameda, CA, and reports to the Payroll Manager.


Responsibilities

  • Review, verify, and process weekly employee timecards and payroll, including regular, off-cycle, and termination payrolls.
  • Maintain accurate payroll records, employee payroll files, personnel documentation, and compliance records.
  • Process new hire payroll information, employee changes, wage adjustments, verification of employment requests, 401(k) elections, garnishments, taxes, and union reporting.
  • Prepare certified payroll reports for public works projects, ensuring compliance with prevailing wage, apprenticeship, skilled and trained workforce, and related labor requirements.
  • Run payroll reports, identify and resolve discrepancies, and respond to payroll-related questions and helpdesk tickets.
  • Collaborate with HR, accounting, project management, field supervision, and external agencies to support payroll accuracy and compliance.
  • Maintain confidentiality of employee payroll, personnel, and financial information.
  • Perform additional duties as assigned.


Qualifications

  • Minimum 2 years of payroll processing experience required; construction, union, certified payroll, or prevailing wage experience strongly preferred.
  • Working knowledge of wage and hour laws, payroll compliance, recordkeeping, and payroll reporting requirements.
  • Strong attention to detail, organization, confidentiality, and follow-through.
  • Ability to communicate professionally and resolve payroll questions in a timely manner.
  • Proficiency with payroll systems, Microsoft Office, and accurate data entry. ProContractor by Viewpoint and/or Miter software experience is preferred.
