Overview

The Senior Payroll Coordinator accurately processes U.S. and Canadian payrolls, reviews employee time and payroll changes, administers wage garnishments, and completes payroll-related accounting and reconciliations.

This position partners with Human Resources, Finance, Treasury, and employees to resolve payroll issues, maintain accurate records, and support payroll compliance. The role also assists with payroll audits, year-end processing, and payroll system improvements.

Key Responsibilities
  • Process and review weekly and biweekly U.S. and Canadian payrolls accurately and on schedule.
  • Validate employee time, earnings, deductions, taxes, one-time payments, new hires, and terminations.
  • Process bonuses, commissions, taxable benefits, relocation payments, and other approved payroll adjustments.
  • Process and maintain wage garnishments, including child support orders, tax levies, bankruptcies, and other wage attachments.
  • Prepare Canadian Records of Employment and assist with Canadian payroll activities, including RRSP reporting and employee payroll changes.
  • Reconcile payroll registers to payroll funding, bank activity, deductions, and general ledger accounts.
  • Prepare and post payroll journal entries and complete payroll clearing account and accrual reconciliations.
  • Research and resolve payroll discrepancies, rejected payments, and account differences.
  • Support 401(k), RRSP, PTO, commission, and benefit deduction reconciliations.
  • Respond to employee payroll questions accurately and professionally.
  • Support month-end close, payroll audits, year-end processing, and tax form corrections.
  • Maintain payroll procedures, reconciliations, and audit-ready documentation.
  • Assist with payroll system testing, reporting, and process improvements.
  • Protect confidential employee and payroll information.
Qualifications and Experience
  • Three to five years of payroll experience.
  • Experience independently processing payroll for at least 150 employees.
  • Multi-state U.S. payroll experience.
  • Experience processing and maintaining wage garnishments.
  • Working knowledge of payroll accounting, journal entries, general ledger reconciliations, payroll accruals, and clearing accounts.
  • Experience researching and resolving payroll discrepancies.
  • Proficiency in Microsoft Excel, including PivotTables, XLOOKUP or VLOOKUP, SUMIF/SUMIFS, filters, and reconciliation schedules.
  • Strong attention to detail, organization, and problem-solving skills.
  • Ability to manage multiple deadlines while maintaining accuracy and confidentiality.
  • Clear and professional employee-service and communication skills.
  • High school diploma or equivalent required. Associate degree in Accounting, Finance, Business, Human Resources, or a related field preferred.
Preferred Qualifications
  • Workday Payroll and Time Tracking experience.
  • Canadian payroll experience, including ROEs, RRSPs, CPP, EI, or Canadian payroll reporting.
  • ADP wage garnishment or payroll tax service experience.
  • D365, AX, or Great Plains experience.
  • Fundamental Payroll Certification or Certified Payroll Professional designation.
