Job description

Are you a hands-on payroll expert who leads with heart, technical excellence, and a growth mindset?

At Mosaic, we are looking for a Payroll Manager who brings the perfect balance of strong people leadership and deep, technical payroll expertise. This is a 100% remote position, but it isn\'t a role where you just delegate from afar—you’ll be actively engaged in our day-to-day payroll operations while coaching, empowering, and developing a high-performing team.

If you are a relational leader who thrives on solving complex tax and compliance challenges, driving continuous process improvement, and guiding teams through system and regulatory changes, we’d love to connect with you!

What You’ll Do
  • Lead & Develop: Serve as a relational, service-oriented leader. Hire, coach, and build accountability within your team while cultivating a supportive, highly engaged work environment.
  • Drive Full-Cycle Payroll: Direct and execute full life cycle multi-state payroll processing, off-cycle pay runs, garnishments, and audits to ensure timely and accurate execution.
  • Own Tax & Compliance: Act as the subject matter expert on complex payroll tax and regulatory requirements. Directly prepare and manage in-house payroll tax filings, reconciliations, year-end processing, and tax notice resolutions.
  • Innovate & Improve: Approach challenges with a growth mindset. Analyze systems and workflows to improve processes, prevent recurring issues, and lead functional testing/system upgrades (PeopleSoft).
  • Collaborate Cross-Functionally: Partner closely with Accounting, Finance, HR, and Operations to resolve discrepancies, ensure wage/hour compliance, and align payroll processes with organizational needs.
QualificationsWhat We’re Looking For
  • Technical Credibility: Deep, hands-on experience with in-house payroll processing and multi-state payroll tax management (including direct tax filings, notices, and reconciliations).
  • Relational Leadership: Proven track record of coaching team members through performance challenges, building accountability, and leading with empathy through change.
  • Strategic Problem-Solving: A proactive mindset focused on root-cause problem solving and continuous process enhancement rather than quick fixes.
  • Education & Experience:
    • Associate’s Degree in HR, Accounting, Business Administration, or equivalent work experience.
    • Minimum of 3 years of experience in a payroll supervisory/management role.
    • Experience with multi-state payroll, complex wage/hour laws, and enterprise systems.
