Job Description
As we continue to grow, we are looking for a detail-oriented Payroll Specialist to join our team. This role is ideal for someone who enjoys working in a fast-paced environment, takes pride in accuracy, and is comfortable managing multiple administrative responsibilities.
ServiceTitan experience is highly preferred.
The Payroll Specialist is responsible for processing accurate and timely payroll while supporting key administrative functions including certified payroll reporting, insurance renewals, and contractor prequalification packages. This position works closely with Human Resources, Accounting, Operations, and Project Management to ensure compliance with payroll regulations and customer requirements.
Payroll Administration
  • Process weekly payroll for hourly and salaried employees using ServiceTitan and payroll software.
  • Review employee timecards for accuracy and resolve discrepancies.
  • Process overtime, bonuses, commissions, prevailing wage, and other payroll adjustments.
  • Maintain employee payroll records and ensure confidentiality.
  • Respond to employee payroll questions promptly and professionally.
  • Assist with monthly financial close.
  • Assist with year-end payroll processing, W-2 preparation, and audits.

Certified Payroll
  • Prepare and submit certified payroll reports for prevailing wage and public works projects.
  • Ensure compliance with federal, state, and customer-specific reporting requirements.
  • Maintain certified payroll documentation and records.

Insurance Administration
  • Coordinate annual insurance renewals.
  • Gather payroll and operational information requested by insurance carriers.
  • Work with brokers to complete renewal applications and audits.
  • Assist with workers' compensation payroll audits.

Contractor Prequalifications
  • Complete contractor prequalification applications for general contractors and customers.
  • Maintain current documentation including insurance certificates, EMR information, financial documents, safety records, and compliance certifications.
  • Track renewal dates and ensure prequalification information remains current.

Additional Responsibilities
  • Assist with reporting and payroll reconciliations.
  • Support HR and Accounting with administrative projects.
  • Maintain organized electronic and paper records.
  • Recommend process improvements to increase efficiency and accuracy.

Qualifications
  • 3+ years of payroll processing experience.
  • ServiceTitan experience strongly preferred.
  • Certified payroll experience preferred.
  • Construction or service industry payroll experience highly desirable.
  • Knowledge of prevailing wage regulations is a plus.
  • Strong understanding of payroll laws, taxes, and compliance requirements.
  • Experience coordinating insurance renewals and contractor prequalification packages preferred.
  • Excellent organizational, communication, and Microsoft Office skills.
  • Ability to maintain confidentiality.
