Job Description
Department: Accounting/Finance
Job Status: Full-Time
FLSA Status: Salary-Exempt
Reports To: Procure to Pay Manager
Location: The Woodlands, TX
Amount of Travel Required: Less than 5%
Work Schedule: Monday - Friday, 8 a.m. - 5 p.m.
Positions Supervised: Accounts Payable Analyst, Accounts Payable
POSITION SUMMARY:
Compute, classify, and record numerical data to keep financial records complete. Perform any combination of routine calculating, posting, and verifying duties to obtain primary financial data for use in maintaining accounting records. Work involves scheduling and directing work assignments of clerical employees, meeting deadlines for data processing and financial requirements.
ESSENTIAL FUNCTIONS: (The following duties and responsibilities are all essential job functions, as defined by the ADA, except for those that begin with the word "may.")
  • Interviews prospective employees and chooses the best applicant based on skills, knowledge, and abilities required for the job.
  • Trains and oversees employees involved in billing functions.
  • Directs assigned tasks and provides assistance as needed.
  • Assists with performance evaluations.
  • Oversees reports regarding cash flow; ensures correct payments are made in a timely manner.
  • Develops guidelines for proper handling and coding of invoices to maintain general ledger expense account and inventory records.
  • Analyzes expense reports and other invoices for accuracy and eligibility for payment.
  • Verifies payments before controllers' signature is added by reviewing checks and vouchers.
  • Reconciles accounts payable total and general ledger with other applicable records (e.g., subsidiary vendors ledger).
  • Facilitates correct and timely preparation of budget reports and purchase journals.
  • Ensures proper recordkeeping of purchases for use in tax preparation and periodic audits.
  • Ensures employer identification numbers or social security numbers have been collected from all vendors for the payables clerk to prepare and submit 1099s.
  • Ensures proper maintenance, filing, and storage of records in case of audits.

Performs other related duties as assigned to assist with successful operations and business continuity.
POSITION REQUIREMENTS:
  • Successfully passes all applicable general pre-employment testing including but not limited to background check, pre-employment drug screening, pre-employment fit tests, pre-employment aptitude and/or competency assessment(s).
  • Possess a valid U.S. Driver's License. Employment is contingent upon meeting company driving standards, including an acceptable Motor Vehicle Record (MVR) in accordance with Company policy.
  • Daily in-person, predictable attendance.

EDUCATION/EXPERIENCE LEVEL
Bachelors degree in Accounting or Business Administration, with one year of experience in an accounting office; OR three or four years of accounting experience with at least two years in a managerial or supervisory capacity.
QUALIFICATIONS, SKILLS, COMPETENCIES, AND ABILITIES
  • Excellent verbal and written communication skills.
  • Proficient in accounting software and Microsoft Office Suite or related software.
  • Thorough understanding of accounts payable functions.
  • Excellent supervisory and analytical skills.

The Accounts Payable Supervisor works indoors in an office setting, primarily sitting for extended periods of time at a desk station, keyboarding and using repetitive motions with wrists, hands, and or fingers. Vision abilities required by this job include close vision and the ability to adjust focus while reading and staring at computer monitor. They will also need to speak clearly and audibly, as well as have the ability to hear, understand, and distinguish speech and /or other sounds (e.g., building alarms) deriving from in person speech, telephone, or other remote speech. No adverse environmental conditions are expected. While in the office, the Accounts Payable Supervisor may be called upon to stand, kneel, push, pull, reach overhead, stoop, crouch, climb, and lift; therefore, the Accounts Payable Supervisor should be able to lift 25 lbs. independently
Work hours may include early morning, late evenings, and weekends, depending on business necessity.
