Position: Bookkeeper / Office Management Assistant

Schedule: Mondayโ€“Friday | 7:30 AM โ€“ 4:30 PM (On-site)
Pay Rate: $26/hour


Position Overview


Out client is seeking a dependable and detail-oriented Jr - Mid level Bookkeeper / Office Management Assistant to support the day-to-day financial and administrative operations of a growing company. This role combines bookkeeping, office coordination, and project administrative support, making it ideal for someone who enjoys working in a fast-paced environment while keeping operations organized and running efficiently.


Primary Responsibilities


Accounting & Bookkeeping

  • Maintain accurate financial records using QuickBooks or comparable accounting software.
  • Enter and process accounts payable and accounts receivable transactions.
  • Generate customer invoices and monitor outstanding balances.
  • Review vendor invoices and coordinate timely payment processing.
  • Complete monthly bank and credit card reconciliations.
  • Assist with payroll support and employee reimbursement processing.
  • Organize accounting documentation for tax preparation and financial reviews.
  • Prepare routine financial reports and assist with budgeting, job costing, and other financial tracking activities.


Office Operations

  • Maintain organized electronic and paper filing systems.
  • Order and track office supplies while managing general office inventory.
  • Answer incoming phone calls, respond to emails, and provide professional front-office support.
  • Coordinate calendars, meetings, appointments, and project-related inspections.
  • Prepare, scan, copy, and organize business documents as needed.
  • Keep contracts, permits, and project correspondence properly filed and accessible.


Project Administration

  • Assist with organizing project files, construction drawings, specifications, and change order documentation.
  • Monitor permit status, inspections, and project timelines.
  • Maintain subcontractor and vendor documentation, including insurance certificates, W-9 forms, and lien waivers.
  • Support project closeout documentation and owner turnover packages.
  • Coordinate deliveries and communicate with vendors, subcontractors, and customers regarding project needs.
  • Assist with material order tracking and project record maintenance.
  • Provide administrative support to project managers, including reporting and documentation.


Additional Support

  • Recommend improvements to office procedures and administrative workflows.
  • Handle confidential financial and company information with discretion.
  • Provide assistance on special projects and other administrative duties as business needs evolve.
  • Remain flexible in supporting multiple departments and changing priorities.



Qualifications

  • Minimum of 2 years of bookkeeping or office administration experience.
  • Hands-on experience with QuickBooks is required.
  • Proficiency with Microsoft Office, including Excel, Word, and Outlook.
  • Strong organizational skills with exceptional attention to detail.
  • Excellent written and verbal communication abilities.
  • Ability to manage multiple responsibilities in a deadline-driven construction environment.
  • High school diploma or equivalent required; an Associate's or Bachelor's degree in Accounting, Business Administration, Finance, or a related field is a plus.
  • Self-motivated, dependable, and able to work independently while maintaining accuracy and confidentiality.
