Department: Development

Title of Position: Associate, Patron Programs

Reports to Position: Director, Patron Programs

The Associate, Patron Programs role manages donor and membership-related tasks, including gift acknowledgments, donor communications, membership renewals, and event support, and serves as the first point of contact for Patron inquiries. 

Responsibilities include but are not limited to: 

  • Manages and facilitates the weekly gift acknowledgment process for all Patron, Explorer, and Notables contributions, including preparing reports, gift posting forms, acknowledgment letters, emails, receipts, and related materials. 
  • Drafts and coordinates Patron communications on behalf of senior staff and the Director of Patron Programs. 
  • Prepares monthly membership renewal and reminder solicitations.
  • Manages RSVPs for all Patron, Explorer, and Notables events.
  • Monitors general membership inboxes and phone lines, responding to Patron inquiries and providing support with membership questions and concerns.
  • Prepares monthly outstanding gift reports and coordinates follow-up communications. 
  • Maintains accurate donor records and crediting across all listings, including the monthly concert program Playbill and website donor listings. 
  • Inputs and maintains Patron membership and gift information in Tessitura, ensuring accuracy and timely updates.
  • Assists with event logistics for Patron, Explorer, and Notables events, as well as galas, as needed.
  • Reviews obituaries weekly, tracks updates in Tessitura, and prepares condolence notes for the families of Patrons. 
  • Manages stock gifts for the department.
  • Provides general support to the Patron Programs team by assisting as needed to advance team priorities and ensure a high level of service to Patrons.

Qualifications:  

  • Bachelor’s degree with excellent interpersonal skills, as well as strong written and verbal communication skills.
  • Detail oriented and able to prioritize in a fast-paced environment.
  • Able to work independently and manage multiple projects on tight deadlines.
  • Computer proficiency is a must, with knowledge of Tessitura database software preferred but not required.
  • Development and/or administrative experience preferred.
