Job description


Primary Accountability
The Dispensary Clerk is responsible for supporting the daily dispensary operations.
Description of Primary Responsibilities
  1. Responsible for supporting the daily dispensary operations.
    1. Receives new prescriptions and enters information into the Practice Management and Electronic Health Record System.
    2. Processes medication labels.
    3. Answers and directs phone calls.
    4. Handles prescription refill requests.
    5. Stocks and stores medications and vaccines.
    6. Regulates stock levels, including forms and supplies for the department, including prescription pads for medical providers, Liquid Nitrogen, Oxygen tanks, and Nitrous Oxide.
    7. Orders medications through the software system.
    8. Return of outdated/expired, recalled and overstocked items for credit and disposal.
    9. Handles and completes Prior Authorization and T.A.R. (Medication Treatment Authorization Request) with Medical Providers approval.
    10. Maintains the Log Binders for Sample Medications, Provider Administered Medications and the $10 Medication Program.
    11. Maintains accurate logs of transferred medications/vaccines and prescriptions.
    12. Inventory of stock medications at monthly intervals.
  2. Responsible for performing customer service duties.
    1. Updates the system with the appropriate patient information.
    2. Responsible for maintaining an accurate tracking system of the patient's application process, status and refills on the Patient Assistance Program.
    3. Prepares the Patient Assistance Program medications for patient to pick-up with Medical Providers.
  3. Responsible for adhering to the Attendance and Absenteeism Policy, recognizing that regular attendance is considered an essential function of all FHCN positions. Absenteeism is not being at work or failing to attend a paid workshop, training, or event unless the absence is protected by law.
  4. Ability to present to and work at any FHCN location, both at the beginning of a shift or during a shift, based on business need.
  5. Performs other duties as assigned.

Description of Primary Attributes
Professional & Technical Knowledge:
Effective June 1, 2026, all individuals hired into the role must:
  1. Must have proof of completion of high school with a minimum overall GPA of 2.5 or completion of General Educational Development (GED) with a minimum overall score of 162.5. If an individual has completed a degree at a higher level than required by the role and had a stronger GPA in that program, they may provide proof of GPA from that degree in lieu of the high school diploma.
  2. Have a minimum of one year of experience and knowledge of pharmacy processes and practices, typically learned on the job or successful completion of a pharmacy externship with Family HealthCare Network.

Technical Skills:
  1. Ability to prepare basic correspondence and simple reports in Microsoft Word.
  2. Ability to use Microsoft Excel to create tables and simple displays of information.
  3. Ability to create basic presentations in Microsoft PowerPoint.

Licenses & Certifications: None required.
Communications Skills:
  1. Job duties require the employee to effectively communicate routine or non-technical information to co-workers and others.
  2. Effectively communicates written information (including electronic correspondence) and verbal presentation.
