Job description

Description OPEN UNTIL FILLED Under the direction of the City Clerk, the Passport Acceptance Agent P/T provides a high level of customer service, performs a range of administrative tasks related to the acceptance/execution of the passport application for new passports, lost passports, and child/minor passports. Duties and Responsibilities Process passport applications by verifying applicants' documentation meets the requirements provided by the National Passport Office; Screen evidence of U.S. Citizenship documents; Record the identification documentation presented on the application; Review the application to verify all required information has been provided

Assist citizens with the preparation of their passport application forms including, but not limited to, answering customer questions concerning application rules and process. Interact with customers in a courteous and professional manner. Provide a high level of customer service including polite and accurate responses to the passport application process.

Exercise independent judgment and tact when explaining and applying the regulations, policies, and procedures of the passport process. Take and process photograph of applicant; Verify that the photograph is a true likeness of the applicant and meets passport application requirements. Collect the required passport fees.

Administer the Oath to the applicant and witness their signature. Sign your name and affix your office's authorized seal or stamp on the application. Ensure that all documents are handled and stored securely, and that the applicant's personal identifiable information is protected.

Mail passport applications to the appropriate address using traceable mail. Maintain the cleanliness and organization of the passport office areas. Re-certify annually as a Passport Acceptance Agent.

Other duties as assigned Minimum Qualifications Required: High School diploma or equivalent AND at least one year of general office experience, including providing a high level of customer service and working knowledge of accounting/cash-handling procedures OR equivalent education/experience. Per guidelines set by the National Passport Office: Must be at least 18 years old and a U.S. citizen

Ability to successfully complete the required training and testing in order to become certified to accept passport applications. Preferred: Bilingual (English/Spanish) Important Information - Please Read Applicants must provide a valid email address in order to receive notices of required testing and eligibility.
