Part time Secretary
Position Purpose
Under the direct supervision of the HR Director(s) to provide clerical, secretarial and administrative assistant to the District Office and conveying information regarding school functions and procedures; and supporting the broad array of services provided to students, parents, instructional and support employees; and to work with other District Office clerical employees in various settings. Greet visitors, answer telephone calls in a pleasant and efficient manner, and communicate effectively in routine, sensitive, and confidential matters. Performs secretarial responsibilities that assist the HR Director(s) and District staff as needed.
Essential Functions:
  • Provide excellent customer service to all students, staff, and visitors.
  • Maintain a clean, attractive, orderly, safe, and efficient office environment.
  • Answers telephone calls, and provide information and assistance to callers
  • Transmit specific information or instructions between public and staff members.
  • Operate electronic and other equipment needed to carry out job functions and responsibilities.
  • Sort and distribute mail. Handle correspondence of the office, responding to routine requests for information.
  • Receive telephone calls and provide information or refer callers to proper staff members; and answer inquiries requiring knowledge of procedures.
  • Schedule and administer fingerprinting for district staff or others as requested.
  • Serve as a role model for public and staff in demonstrating positive attitudes, appropriate attire and grooming, accepting responsibility, and an effective work ethic.
  • Assist the HR Director(s) and Finance staff in handling interruptions and emergencies, calling for assistance when needed.
  • Protect confidentiality of records and information about students and staff, and use discretion when sharing any such information within legal confines.
  • Handle funds related to background checks, and be responsible for other money-related functions..
  • Tasks may require the frequent exercise of independent judgment within the scope of the authority granted by the HR Director(s)
  • Perform any duties and responsibilities that are within the scope of employment, as assigned by the HR Director(s)

Performs other related duties, as assigned, for the purpose of ensuring the efficient and effective functioning of the school.

  • Able to work cooperatively with staff in other offices with the completion of large or time sensitive projects or emergencies.
  • Specific skill-based competencies included: Proficient at typing, computer literacy, accounting and general office procedures. Must adhere to school policies, procedure and practices.
  • Specific knowledge-based competencies include: Proficient in software programs: Word and Excel, print, copy and fax machine use and operation of any other job-related equipment.
  • Specific ability-based competencies include: Adapting to changing work priorities, meeting deadlines and schedules, working as part of a team, working with constant interruptions, decision making, and working flexible hours. Ability to problem solve, work with a diversity of individuals.

Qualifications:
  • Must have a high school diploma or equivalent.
  • Must be at least 21 years of Age
  • Successful experience with office management preferred.
  • Have excellent integrity and demonstrate good moral character and initiative.

Working Conditions:
Will work under the direct supervision of the HR Director(s) and Business Administrator using standardized procedures.
