Job description

Overview

We're looking for a highly organized, proactive Service Coordinator to join our team. This role is the hub of our service department, coordinating communication between customers, technicians, and the office to keep our daily operations running smoothly.

The ideal candidate thrives in a fast-paced environment, enjoys solving scheduling challenges, and can confidently manage multiple priorities. Success in this role comes from thinking ahead - planning efficient technician routes, prioritizing service calls, and adapting quickly as schedules change throughout the day.

Key Responsibilities

  • Schedule and coordinate service appointments based on customer needs, technician availability and experience, job urgency, and geographic efficiency.
  • Review open work orders to proactively plan technician routes and maximize productivity.
  • Adjust schedules throughout the day to accommodate emergencies, delays, and changing priorities.
  • Create, update, and close work orders while maintaining accurate documentation.
  • Communicate regularly with technicians regarding schedules, parts, and job updates.
  • Serve as the primary point of contact for customers, providing updates and resolving concerns professionally.
  • Coordinate the ordering and tracking of parts and supplies.
  • Maintain accurate customer records and support the overall efficiency of the service department.

Required Skills & Qualifications

  • Previous experience as a Service Coordinator, Dispatcher, or in a similar role.
  • Excellent organizational, time-management, and prioritization skills.
  • Ability to manage multiple tasks and remain calm in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • Excellent verbal and written communication skills.
  • Experience with CRM software, Microsoft Teams, and standard office applications.
  • Strong attention to detail and commitment to customer service.

Preferred Experience

  • 2+ years of customer service, dispatch, logistics, or service coordination experience.
  • Experience with technician scheduling and route planning.
  • Experience using QuickBooks and/or Square.
  • Geographic knowledge of the local service area is an asset but not required. The ability to learn the service territory and develop efficient technician routes is essential.

What Makes Someone Successful

The right person enjoys bringing order to a busy day, solving scheduling puzzles, and keeping customers and technicians informed. They can shift priorities when needed, think ahead, and understand that efficient planning and communication play a key role in delivering exceptional customer service.

If you're looking for a rewarding role where your organization, communication, and planning skills make a real impact every day, we'd love to hear from you.
