GENERAL SUMMARY
The Board Coordinator serves as the primary liaison between the Cuyahoga County Public Library (CCPL) staff and the CCPL Library Foundation Board. This position provides comprehensive administrative and governance support to ensure the effective operation of the CCPL Foundation Board, facilitates clear and timely communication, and maintains accurate records in compliance with library policies, bylaws, and applicable regulations. The Board Coordinator plays a critical role in supporting CCPL Foundation Board operations, meeting coordination, documentation, and governance processes.
JOB REQUIREMENTS
Knowledge of:
  • Public library governance structures, including the roles and responsibilities of library boards and affiliated foundation boards.
  • Administrative practices, records management, and document retention standards within a public-sector environment.
  • Meeting procedures, agenda development, and professional minute-taking standards.
  • Nonprofit foundation governance and fundraising oversight as it relates to public libraries.
  • Applicable policies, bylaws, and legal requirements governing public libraries in Ohio.
  • The mission, values, and community-focused service model of the Cuyahoga County Public Library system.
  • Executive-level administrative support practices in a public-sector or nonprofit environment.

Skill in:
  • Providing high-level administrative and organizational support to CCPL Foundation board and its committees simultaneously.
  • Preparing clear, accurate agendas, minutes, resolutions, reports, and official correspondence.
  • Communicating effectively, both verbally and in writing, with board members, library leadership, development staff, and external stakeholders.
  • Managing time, priorities, and deadlines in a fast-paced public library environment.
  • Using standard office software, document management systems, and virtual meeting platforms.
  • Providing high-level administrative support to senior leadership and managing executive calendars and priorities.

Ability to:
  • Maintain confidentiality and exercise sound judgment when handling sensitive board and governance-related information.
  • Work independently with minimal supervision while coordinating closely with library staff and CCPL Foundation Board leadership.
  • Interpret and apply board bylaws, policies, and governance procedures accurately and consistently.
  • Establish and maintain effective working relationships with Foundation board members, library leadership, and staff.
  • Anticipate administrative needs, track action items, and ensure timely completion of board-related tasks.
  • Use a personal computer and job-related software or systems applicable to the essential functions of the job, including but not limited to email/calendar software, internet/intranet browsers, word processing, spreadsheets, database software, and various systems of software used by CCPL.

ESSENTIAL JOB FUNCTIONS
  • Serves as the primary liaison between library staff and leadership of the CCPL Foundation Board.
  • Plans, schedules, and coordinates all CCPL Foundation board and committee meetings, including logistics, technology materials, and calendars.
  • Prepares and distributes agendas, reports, and supporting documentation in collaboration with CCPL Foundation Board leadership and staff.
  • Attends board and committee meetings to record accurate minutes and track decisions and action items.
  • Maintains official records for the CCPL Foundation Board, including minutes, resolutions, bylaws, policies, and committee documentation.
  • Manages board correspondence, communications, and document distribution in a timely and professional manner.
  • Supports board member onboarding, orientation, elections, appointments, and term tracking.
  • Coordinates governance-related reporting, compliance documentation.
  • Supports internal creation of presentation and report materials as needed.
  • Performs data entry into donor database for special events and specific campaigns as needed.
  • Maintains confidentiality and professionalism in all board-related matters.
  • Coordinates logistics for CCPL Foundation meetings, events, and off-site engagements as needed.
  • Manages confidential and time-sensitive information.
  • Assists with special projects and events that are related to the CCPL Foundation Board.
  • Complies with Cuyahoga County Public Library's policies, rules, guidelines, procedures, requirements, standards, and practices applicable to the job, including but not limited to work scheduling and attendance, customer service, use of Library property, computer use, personal conduct, and confidentiality.
  • Performs other duties as assigned.
  • Ability to work flexible hours including weekends and evenings as needed.
  • Must adhere to the Donor Bill of Rights and Fundraising Code of Ethics.

SUMMARY MINIMUM EDUCATION & EXPERIENCE REQUIRED
  • Associate's or Bachelor's degree, or equivalent combination of education and experience.
  • A minimum of three (3) years of experience providing administrative support, board support, or governance support in a public-sector, nonprofit, or similar environment.
  • Experience working with boards, executive leadership, or committees is preferred.
  • Criminal background checks are required, and pre-employment drug screening.

PHYSICAL DEMANDS AND WORKING CONDITIONS - LIGHT
  • The work environment involves everyday risks or discomforts that require normal safety precautions typical of offices, which includes the need for general safe workplace practices with office equipment and computers, avoidance of trips and falls, and observance of fire regulations.
  • The noise level in the work environment is usually quiet to moderate.
  • This position is performed in an office setting although off-site meetings in various settings occur.
  • Lift light objects [less than 20 pounds] and carry them short distances [20 feet or less].
  • The schedule is generally normal business hours Monday through Friday although there is a requirement to perform work, attend meetings and events before or after normal workings hours, and occasionally on weekends and evenings.
  • Some local travel by personal automobile and a valid drivers' license is required.
