Job description

Job Summary:

The part time Virtual ESE Staffing Resource Specialist, under the direction of the Principal and ESE Compliance Coordinator, facilitates the IEP process and protocols as well as supports the delivery of exceptional student programs within UCP Virtual School Immersive Learning Academy. This position also provides technical assistance to ensure compliance with all appropriate ESE laws for school-based teams.

This is a faculty schedule with 6 additional days during pre and post planning. The candidate must have access to reliable high speed internet. This position is primarily remote; however, occasional in-person travel may be required for state-mandated testing, professional development, or other school-related activities.

Job Responsibilities:


ESE Compliance & LEA Functions

  • Serve as the Child Find and Local Education Agency (LEA) representative in all special education meetings, including initial eligibility, annual reviews, re-evaluations, dismissals, and Student Study Team meetings, ensuring timely completion, accurate documentation, and follow-up of committee recommendations.
  • Review evaluation data, facilitate meetings, and ensure IEP/IFSP documentation complies with all state and federal requirements.
  • Use system-wide structures and platforms to support compliance, monitoring, and implementation of ESE programs and services within the school setting (e.g., UCP Google Drive, Playground IEP).

IEP Review, Matrix Alignment & Professional Support

  • Review, monitor, and ensure compliance of all IEPs, evaluations, re-evaluations, dismissals, and IEP Matrix documentation prior to submission.
  • Provide feedback, guidance, technical assistance, and professional learning to school-based ESE staff regarding IEP development, goal writing, Matrix completion, and compliance requirements.
  • Maintain compliance with all local district and state professional development requirements, including mandatory training related to Exceptional Student Education, IDEA, and instructional or compliance systems.
  • Serve as a resource for ESE-related questions and procedural guidance.

Referrals, Evaluations & Service Coordination

  • Coordinate, submit, track, and monitor special education referrals, evaluations, and related service requests through the consortium, ensuring timely follow-up and service initiation.
  • Coordinate and schedule evaluations and meetings with ESE team members and related service providers (e.g., SLP, OT/PT, psychology, behavior, health services).
  • Refer students for additional evaluations or follow-up services as needed.

Records Management, Data Monitoring & Reporting

  • Maintain, review, and periodically audit student cumulative folders and ESE records to ensure accuracy, organization, and compliance.
  • Monitor ESE data, reports, class lists, cost reports, and service expirations in student information systems (e.g., Skyward, PowerSchool) and communicate updates to relevant stakeholders.
  • Prepare and maintain required documentation and reports for school, district, consortium, and state agencies.

Communication, Training & Stakeholder Collaboration

  • Communicate with parents/guardians regarding procedural safeguards, legal rights, informed consent, and ESE processes.
  • Collaborate with school leadership, teachers, therapists, and support staff regarding ESE policies, procedures, and service delivery.

Monitoring & Audits

  • Assist with ESE audits, compliance monitoring activities, and corrective action processes as needed.
  • Participate in BOY/MOY/EOY meetings and other ESE planning or review meetings, ensuring follow-up of identified student needs.
  • Perform other duties as assigned by the immediate supervisor.

Education and Training:

  • Valid Florida certification in ESE K-12

Minimum Experience:

  • 3+ years of experience working in Exceptional Student Education in a school-based or virtual setting, with demonstrated knowledge of Florida ESE rules, regulations, and IDEA requirements
  • Experience supporting the development, implementation, and compliance of the IEP process, including facilitating and participating in initial eligibility, annual review, re-evaluation, dismissal, and Student Study Team meetings with a variety of stakeholders
  • Experience reviewing IEPs, evaluations, and ESE Matrix documentation for accuracy, compliance, and alignment with required services under state and federal guidelines
  • Experience coordinating, submitting, and tracking special education referrals, evaluations, and related services, ensuring timely follow-up and service delivery
  • Experience working collaboratively with school-based teams, related service providers, administrators, and families to support ESE service delivery
  • Experience using student information systems and special education documentation platforms (e.g., Skyward, Focus, or similar systems) to monitor data, timelines, and compliance
  • Experience maintaining and auditing student records and cumulative folders in compliance with IDEA and state guidelines, with strong organizational skills Experience communicating with parents/guardians regarding procedural safeguards, legal rights, and informed consent
