Position Summary
The Part Time Accounts Payable Manager oversees the full-cycle accounts payable function, ensuring timely and accurate invoice processing, strong internal controls, vendor relationship management, and support of monthly financial reporting. This role utilizes Ottimate (AI-driven AP automation software) and QuickBooks to manage and optimize the company's payables operations.
Key Responsibilities
• Manage full-cycle accounts payable process and Ottimate software
• Collaborate with property managers and regional operations to ensure accurate and efficient processing of invoices and expenses
• Ensure timely payment of vendors in accordance with company policy
• Maintain vendor setup, W-9s, and 1099 reporting compliance
• Ensure proper expense coding and accuracy
• Monitor aging reports and resolve discrepancies
• Strengthen and maintain internal controls over disbursements
• Support audits and provide requested documentation
• Identify opportunities for process improvement
• Maintain confidentiality and security of financial information
• Perform additional duties assigned by the Chief Financial Officer or Corporate Accounting leadership
Requirements
Qualifications
Education:
• Bachelor's degree in accounting, Finance, or related field a plus
• 5 years of accounts payable experience, preferably in a multi-entity or hospitality environment
• Strong knowledge of accounting principles
• Experience with QuickBooks and/or Ottimate software a plus
Skills:
• Proficiency in Excel, Word and MS Outlook
• Exceptional attention to detail and accuracy
• Excellent written and verbal communication skills
• Strong vendor management skills
• Ability to work independently and manage deadlines
