What is a part-time personal assistant?

Part time personal assistants are professionals who provide administrative, organizational, and sometimes personal support to individuals or businesses on a part-time basis. Their duties may include managing schedules, handling correspondence, running errands, making travel arrangements, and assisting with various personal or business tasks. By working part-time, they offer flexibility to employers who may not need full-time help. This role requires strong organizational skills, discretion, and the ability to multitask efficiently.

What does a part-time personal assistant do?

As a part-time personal assistant, your job is to help manage the daily schedule for your client. In this role, you may organize their office, perform various administrative tasks, and otherwise help your employer improve their productivity. Part-time personal assistants usually work in-person, but it is possible to find remote versions of this job, especially at companies whose employees already work around the country or the world. As a personal assistant, you may answer emails and phone calls, perform data entry, run errands, deliver memos, and perform any other miscellaneous tasks as needed. Hours for this position can vary, but they often include several hours each day instead of a few long shifts each week.

What are the key skills and qualifications needed to thrive as a part-time personal assistant, and why are they important?

To thrive as a Part Time Personal Assistant, you need strong organizational skills, attention to detail, and proficiency in time management, often supported by prior administrative experience or relevant training. Familiarity with office software such as Microsoft Office, Google Workspace, and scheduling or communication tools is typically required. Excellent communication, discretion, and adaptability are soft skills that help build trust and effectively manage diverse tasks. These skills and qualities are essential for efficiently supporting clients, handling confidential information, and ensuring smooth daily operations.

What are some common challenges faced by part-time personal assistants, and how can they be managed?

Part-time personal assistants often juggle diverse tasks and shifting priorities for their employers, which can make time management a key challenge. Balancing multiple responsibilities, such as scheduling appointments, managing communications, and handling errands, requires strong organizational skills and clear communication. Additionally, since part-time roles may involve working with limited information or less frequent check-ins, staying proactive and maintaining detailed task lists can help ensure nothing falls through the cracks. Building a strong rapport with your employer and setting clear expectations can also lead to a more effective and rewarding working relationship.

About Our Family

We're a close-knit, creative, caring family re-locating into our home in Newport with our energetic toddler in tow. We're both remote workers with flexible schedules, and we tend to move through life with warmth, empathy, and a lot of enthusiasm. We're thoughtful, collaborative, and genuinely care about the people around us.

Our home is wellness-oriented at its core. We care deeply about what we eat, how our space feels, and building rhythms that support a calm and healthy daily life. We're creative by nature, which means the organizational and logistical side of running a household isn't always where we shine. We know what we need, and we're looking for someone who can take ownership of it without being asked twice.

We have a regular cleaning team that comes through a couple times a week, so the day-to-day doesn't require heavy cleaning. What we need is someone who can keep things running smoothly in between, get ahead of the details, and bring a sense of ease to our home.

Our little one is in school most of the day, but he's around sometimes, and he's full of energy. We'd love someone who enjoys that kind of environment.

Who You Are / What We're Looking For

You're the kind of person who walks into a space, takes in what needs to happen, and just makes it happen. You're warm, enthusiastic about your work, and take real pride in a well-run home. You have a "type B personality with type A execution" easygoing and easy to be around, but sharp, proactive, and deeply self-directed behind the scenes.

You think in systems. You don't wait to be told what needs restocking, scheduling, or organizing you notice it and handle it. You're the kind of person who sees a task all the way through from start to finish without needing to be followed up with. You're a skilled executive functioner who takes mental load off the people around you rather than adding to it.

You're also health minded. You understand the value of a well-stocked fridge, a nourishing meal ready to go, and a kitchen that functions as the heart of a healthy household. Cooking and meal prep aren't just tasks to you they're something you approach with care and intention and enjoy creating and iterating.

Comfort around an energetic toddler is a must, even though formal childcare is not part of this role. Occasional flexibility for evenings or weekend coverage is a plus.
