Position Overview

ReachMobi is seeking a highly organized, service-oriented Part-Time Office Coordinator to support our Philadelphia office operations. This role is responsible for creating a welcoming, organized, and productive workplace experience for employees, candidates, and visitors.


The Office Coordinator will serve as the onsite point person for day-to-day office needs, ensuring the workspace is well maintained, supplies are stocked, employees have what they need, and office operations run smoothly. This individual thrives in a fast-paced environment, takes initiative, and enjoys creating a positive workplace experience.


To best support our Philadelphia team and office operations, this role is performed onsite in our Philadelphia office Tuesday through Thursday from 9:00 AM-5:00 PM.


Primary Responsibilities

Office Operations & Workplace Experience

  • Serve as the primary onsite contact for Philadelphia office operations.
  • Ensure workspaces, meeting rooms, and common areas are clean, organized, and ready for employees and visitors.
  • Maintain office supplies, inventory, snacks, beverages, and general workplace needs.
  • Coordinate office deliveries, mail, shipments, and vendor access.
  • Identify and address office needs proactively, escalating issues when necessary.
  • Partner with the Bonita Springs Office Manager and Sr. Human Resources Director to maintain consistent workplace standards across offices.

Employee Experience & Hospitality

  • Create a welcoming, service-oriented office environment.
  • Greet employees, candidates, visitors, and vendors professionally.
  • Support employee lunches, team gatherings, and office events.
  • Assist with office celebrations, culture initiatives, and employee engagement activities.
  • Maintain a positive and organized workplace experience for the Philadelphia team.

Facilities & Vendor Coordination

  • Coordinate with building management and vendors for office-related needs.
  • Report and follow up on maintenance, repairs, and facility issues.
  • Help maintain office equipment, conference rooms, and shared spaces.
  • Ensure meeting spaces are prepared and functioning properly.

Administrative Support

  • Support new hire office setup, including workspace preparation and welcome materials.
  • Assist with onboarding and offboarding logistics as needed.
  • Assist with special projects and other operational needs.


Qualifications

  • 2+ years of experience in office coordination, hospitality, administrative support, workplace operations, or a related field.
