Job description

We have a part-time Medical Front Office Coordinator opening in Grants Pass. We are looking for more than a receptionist. The ideal candidate is proactive, detail-oriented, learns quickly, and notices what needs attention without requiring constant direction. We want someone who can help us stay ahead of patient communication, referrals, documentation, scheduling, and other administrative needs while contributing experience and ideas that improve our overall workflow. We are looking for someone who will bring both excellent patient service and strong administrative follow-through to the practice and who takes pride in helping a small healthcare office operate efficiently.

Because this is a small practice, this person should be comfortable working independently and taking responsibility for seeing administrative tasks through to completion.

Schedule: Part-Time | Approximately 12 hours per week

Hours: 9:00 AM–1:00 PM, 3 days per week: Tuesday, Wednesday, and Thursday

Pay: $18.75–$24.50 per hour (DOE)

Preferred Experience:

Previous medical front-office, medical administrative, or healthcare office experience.

Medical billing and/or insurance experience.  

Experience working with insurance referrals and authorizations.       

Familiarity with electronic health record (EHR) systems.     

Knowledge of basic medical terminology.    

Experience communicating with medical offices, insurance companies, and referring providers.     

Previous experience in an outpatient medical, specialty, chiropractic, physical therapy, acupuncture, or similar healthcare setting is a plus.

Strong organizational skills, medical-office experience, initiative, and follow-through are more important.

Primary Responsibilities     

Serve as a warm, professional, and welcoming first point of contact for patients.

Answer and return patient phone calls and messages promptly and professionally. 

Schedule, reschedule, and manage patient appointments within the electronic health record (EHR).

Monitor incoming referrals and authorizations and help ensure they are processed and addressed before expiration.       

Receive, organize, send, and follow up on medical faxes and documentation.

Must pass a criminal background check and drug screen.

Must be at least 18 years old to apply.
