Job description

Our Finance department is looking for a part-time Mail & Correspondence Coordinator to join their team! The hours are in office, Monday - Friday, 12 - 4pm.
Summary: The Mail & Correspondence Coordinator is responsible for the accurate processing, review, routing, and distribution of incoming mail and correspondence received by the organization. This position supports efficient communication workflows by researching patient information within the Practice Management (PM) system, determining appropriate routing destinations, and ensuring timely distribution of documents to internal departments and external office locations. The role requires strong attention to detail, organizational skills, and adherence to confidentiality and HIPAA requirements.
Essential Functions include, but are not limited to:
  • Open, sort, and review incoming mail and correspondence.
  • Research patient information within the Practice Management (PM) system to identify the appropriate recipient or department.
  • Route correspondence to Accounts Receivable (AR), TASS offices, Wellness Way departments, and external practice locations as appropriate.
  • Distribute documents to designated AR staff and departmental mail bins.
  • Coordinate and facilitate correspondence distribution outside of the Central Business Office (CBO).
  • Organize and maintain correspondence workflows to ensure timely processing and delivery.
  • Monitor and prioritize urgent or time-sensitive communications.
  • Maintain confidentiality of patient and organizational information in accordance with HIPAA and company policies.
  • Assist with mailroom organization, filing, and document tracking activities as assigned. Communicate with internal departments to resolve routing or delivery questions.

Compensation: $16.00 - $21.00 per hour
