Position Summary:
The Operations Coordinator plays a vital role in ensuring the smooth day-to-day functioning of the organization. This position combines administrative operations, donor and development support, communications, volunteer coordination, community outreach, and light program support. Priorities will vary throughout the year, with increased time devoted to volunteer recruitment, donor support, communications, and event coordination during peak program and fundraising periods. The ideal candidate is highly organized, detail-oriented, comfortable managing multiple priorities, and passionate about supporting the organization's mission.
Key Responsibilities
Administrative Operations
  • Manage project timelines and calendar coordination
  • Maintain organizational databases and donor records
  • Prepare reports, correspondence, and meeting materials
  • Coordinate event logistics and registration processes
  • Provide general administrative support to the Executive Director and program staff
  • Ensure office efficiency and resource management

Development & Donor Support
  • Track donations and maintain an accurate donor database
  • Prepare donor acknowledgment letters and contribution reports
  • Support the Executive Director's donor and sponsor stewardship efforts

Communications Support
  • Manage the organization's Facebook account, scheduling 2 to 3 posts per week
  • Create promotional graphics using Canva branded templates
  • Manage and regularly update email groups/lists (donors, volunteers, participant families, community partners)
  • Organize and curate photos, reels, and stories submitted by coaches and program staff for donor and community engagement
  • Assemble and distribute electronic newsletter (template-based; content provided)

Volunteer Recruitment & Community Outreach
  • Serve as the primary point of contact for area volunteer centers
  • Maintain Girls on the Run (GOTR) volunteer opportunity postings and requests
  • Follow up with volunteer inquiries and maintain volunteer records
  • Support volunteer communications, scheduling, and event assignments
  • Identify and coordinate participation in community events that support volunteer recruitment and organizational visibility

Program Support
  • Deliver and pick up supplies at Girls on the Run program sites in the Appleton/Fox Valley region during the school year
  • Assist with seasonal 5K (May & Nov.) day-of logistics, including vendor/sponsor support, registration booth, merchandise, and refreshments

Qualifications and Qualities
Qualifications
  • Associate's or Bachelor's degree preferred, or equivalent combination of education and relevant experience
  • Prior experience in office administration, nonprofit operations, development/donor relations, or a related field
  • Familiarity with donor management/CRM systems (e.g., Pinwheel) a plus
  • Experience with Canva, Facebook business pages, and email marketing platforms (e.g., Constant Contact, Mailchimp)
  • Excellent organizational skills with the ability to manage multiple projects and deadlines
  • Self-motivated and able to work independently with minimal supervision in a remote setting
  • Comfortable using cloud-based tools and video conferencing to stay connected with a hybrid team
  • High level of discretion when handling confidential donor and financial information
  • Valid driver's license and reliable transportation for occasional local travel to program sites and events
  • Ability to occasionally lift and transport program supplies (up to 40 lbs)

Other Information
Work Environment & Schedule
  • 24 hours/week across three 8-hour days; One of the days being Tuesday for staff meetings and select the remaining two days in coordination with the Executive Director upon hire
  • Hybrid role: most work is performed remotely, with staff team meetings on Tuesdays in person 1-2 times per month at the Green Bay office
  • Occasional travel required for program-site deliveries in Appleton/Fox Valley region during the school year and personal attendance at 1-2 community expos per year
  • Flexible hours required to support 2-4 events each year, which may fall on weekends or outside standard weekday hours (GOTR 5K events are on a Saturday morning in May and November)
  • Workload and hours are reallocated during the weeks leading up to the spring and fall 5Ks; other duties are deprioritized to make room for event support, within the 24-hour work week
  • Requires a reliable home setup (internet access, quiet workspace) to support remote work
