Job description

About the Role

We’re a growing facility services company looking for a HubSpot-savvy, highly organized operator to take ownership of our CRM, improve our sales process, and ensure deals move from lead → closed → invoiced without gaps.

This is a systems and execution role, not a sales position.

What You’ll Own

  • Manage and maintain our HubSpot CRM daily
  • Keep pipelines accurate, clean, and up to date
  • Build and improve workflows (tasks, reminders, follow-ups)
  • Ensure no deals fall through the cracks
  • Track sales activity and performance
  • Create simple dashboards and reports for visibility
  • Coordinate invoicing once jobs are completed
  • Help connect sales activity to cash collection

What Success Looks Like

  • Every deal is tracked and updated in real time
  • Follow-ups happen automatically or on schedule
  • Invoices are sent promptly after job completion
  • Leadership has clear visibility into pipeline and revenue
  • Fewer missed opportunities and faster cash flow

What We’re Looking For

  • Hands-on HubSpot experience (pipelines, workflows, reporting)
  • Strong attention to detail and organization
  • Process-driven mindset — you like building systems that run smoothly
  • Self-directed and reliable (minimal hand-holding)
  • Comfortable owning outcomes, not just tasks

Nice to Have

  • Experience with invoicing or accounts receivable
  • Familiarity with QuickBooks or similar tools
  • Experience in service-based or operations-heavy businesses

Schedule & Pay

  • Part-time (25–30 hours per week)
  • $25–$30/hour depending on experience
  • Opportunity to grow into a full-time role

To Apply

Please include:

  1. Specific examples of HubSpot systems or workflows you’ve built
  2. Any experience with invoicing, billing, or collections
  3. A brief example of how you improved a CRM or operational process

We’re looking for someone who takes ownership, builds structure, and keeps things moving without constant oversight.
