Islamic Weekend School (IWS) Administration Clerk

Job Title: IWS Administration Clerk
Reports To: School Principal
Employment Type: Part-Time (10โ€“14 productive hours per week during the academic year)
Location: Islamic Center of Greater Cincinnati (ICGC), West Chester, Ohio

Position Summary

The Islamic Weekend School (IWS) Administration Clerk provides essential administrative and clerical support to ensure the efficient operation of the school. This role requires strong organizational skills, attention to detail, proficiency with computer applications, and the ability to manage confidential information with discretion and professionalism.

Key ResponsibilitiesAdministrative and Data Management
  • Maintain and handle sensitive student, parent, staff, and school information with strict confidentiality.
  • Accurately enter, update, and maintain data in school databases and electronic record systems.
  • Transfer information from paper documents into digital files and databases with a high level of accuracy.
  • Verify data accuracy by comparing entries against original source documents and resolving discrepancies.
  • Create, manage, and maintain spreadsheets containing large datasets.
  • Retrieve and generate reports, records, and requested information from electronic databases and files.
  • Perform routine data backups to ensure information security and integrity.
  • Organize and maintain digital filing systems, including folders, subfolders, and directories.
  • Sort, file, and archive physical and electronic records as needed.
Clerical Support
  • Enter names, addresses, dates, figures, and other information into designated systems.
  • Prepare presentations, reports, meeting materials, and other documents that may include text, graphics, and charts.
  • Generate labels, invoices, correspondence, and other administrative documents.
  • Assist with general office operations and special projects as assigned.
Communication and Customer Service
  • Answer and direct phone calls from parents, students, staff, and community members.
  • Respond to inquiries professionally and route requests to the appropriate personnel.
  • Support communication efforts between school administration, teachers, parents, and volunteers.
Schedule
  • Expected commitment: 10โ€“14 productive hours per week during the academic year.
  • Sunday availability is required.
  • Hours worked do not include unpaid meal breaks.
Preferred Qualifications
  • Previous experience in an administrative, clerical, or office support role.
  • Proficiency with Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications.
  • Strong organizational, data management, and recordkeeping skills.
  • Excellent written and verbal communication abilities.
  • Ability to work independently, prioritize tasks, manage multiple responsibilities, and meet deadlines.
  • High level of accuracy and attention to detail.
