MCA, a New Charter company is looking for a part-time office coordinator. The Office Coordinator helps keep the office organized, welcoming, and running smoothly. This role provides day-to-day administrative support to leadership, assists with internal and customer-facing events, coordinates routine office and facilities needs, and serves as a friendly first point of contact for employees, visitors, and vendors.
This is a hands-on, entry-level opportunity for someone who is dependable, organized, comfortable asking questions, and ready to learn. Training and guidance will be provided. College students, recent graduates, and candidates whose experience comes from campus activities, customer service, retail, hospitality, volunteer work, or similar settings are encouraged to apply.

Primary Responsibilities

  • Administrative & Leadership Support
    • Assist with calendar updates, meeting scheduling, travel arrangements, and routine communications for the President and senior leadership.
    • Prepare meeting materials, organize documents, and help follow up on routine action items.
    • Greet and direct employees, vendors, customers, and other visitors on behalf of the office and leadership team.
    • Handle business and employee information professionally and with discretion.
  • Events & Guest Experience
    • Assist with internal events such as holiday gatherings, all-hands meetings, employee recognition activities, and team-building events.
    • Support customer visits, tours, meetings, and hosted gatherings by coordinating catering, room setup, signage, supplies, and basic audiovisual needs.
    • Track event bookings, receipts, and expenses and route them to leadership for review and approval.
    • Help create a warm, organized experience for visiting customers and guests.
  • Office, Facilities & Vendor Coordination
    • Receive and track routine facility issues and maintenance requests, escalating urgent or higher-cost matters to office leadership.
    • Contact and coordinate with approved vendors for landscaping, plumbing, HVAC, janitorial, pest control, security, and other routine services.
    • Schedule service calls, confirm appointments, and follow up to verify that work has been completed.
    • Maintain an up-to-date vendor contact list and basic maintenance records.
    • Monitor office and breakroom supplies and place orders within an approved budget.
  • General Office & Team Support
    • Provide reception coverage and assist with mail, shipping, conference-room preparation, supply runs, and new-hire setup.
    • Answer routine staff questions about office logistics or connect employees with the right person for help.
    • Keep shared office areas presentable and flag needs before they become problems.
    • Assist with special projects and other reasonable office-support tasks as assigned.


Skills & Experience

  • Previous work in an office, campus department, student organization, front desk, retail, hospitality, or customer-service setting.
  • Experience helping with events, group projects, scheduling, purchasing, or vendor communication.
  • A valid driver's license and reliable transportation if occasional local supply runs are part of the assigned schedule.
  • Dependable and punctual, with the ability to follow through on assigned tasks.
  • Friendly, professional communication in person, by phone, and in writing.
  • Organized and able to manage several small tasks while asking for help when priorities are unclear.
  • Comfort using email, calendars, documents, and spreadsheets in Microsoft 365 or Google Workspace, or willingness to learn.
  • Good judgment when handling confidential information and interacting with visitors or vendors.
  • Ability to work on-site during an agreed-upon part-time schedule.

Compensation

  • Hourly wage with a range of $17-20 per hour depending on experience
