Job description

We are looking for a reliable and detail-oriented Administrative Assistant to provide part-time (20 hours/week) administrative support for employee group insurance and well-being functions.ย  This role supports day-to-day operations through clerical tasks, customer service, and coordination of materials and communications. This is an on-site position in Palm Beach County, FL.

KEY RESPONSIBILITIES:
  • Provides clerical and administrative support to Group Insurance and Employee Well-Being teams, including staff and on-site vendor representatives
  • Supports Well-Being programs and events, including preparing materials, coordinating communications, assisting with event logistics, and tracking participation or attendance.
  • Performs general clerical tasks, including data entry, packet assembly, report review and support, document uploads, filing, and record maintenance.
  • Responds to customer inquiries (email, phone, fax) and routes complex issues to appropriate staff.
  • Assists with open enrollment and special projects, such as opt-out tracking, data entry for life insurance EOI requests, dependent verification, general follow-up, and health equity initiatives.
  • Assists with correspondence for new hires, overage dependents, and terminations, including preparation of new hire materials and general communications.
  • Assists with ordering and coordinating materials and services with vendors and County departments.
  • Provides back-up support to the front desk as needed.
  • Performs other clerical and administrative duties as assigned

REQUIREMENTS:
  • Administrative or clerical experience (experience in HR, benefits, insurance or a related field is a plus)
  • Proficiency in Microsoft Office (Word, Outlook, and basic Excel)
  • Strong organizational skills and attention to detail
  • Ability to manage multiple tasks and follow instructions in a structured environment
  • Effective written and verbal communication skills
  • Strong customer service skills and ability to handle and resolve routine inquiries
  • High School Diploma or equivalent
