Job description

WR Immigration is a global immigration firm known worldwide for its innovation, technology, and high touch legal services.  With offices across multiple time zones, the firm provides corporate global visa services in over 100 countries. WR is one of the fastest growing immigration service providers worldwide with over 46 attorneys and 200 immigration professionals working out of offices in Boston, Denver, Los Angeles, New York, Oakland, San Diego, San Francisco, Santa Monica, and Shanghai.

The Mail Clerk works alongside the Office Administrator and other administrative staff members as part of the in-office admin team. This is a part-time position that provides support and coverage to the Office Administrator as they receive and process incoming mail and other deliveries. The firm receives a high volume of government notices and other case-related documents, so timely and accurate mail processing is a core element in making sure that updates to cases are received and communicated promptly.

This is an entry-level opportunity designed for candidates beginning their careers. We welcome applicants with 0–2 years of relevant professional experience who have recently completed or are currently completing a bachelor’s degree. Equivalent education or relevant experience will also be considered. This part-time position is based out of our Santa Monica office, with expected work hours from 12:00 to 6:00 pm twice a week on Wednesdays and Thursdays.

Mail Clerk Responsibilities:

  • Receiving incoming deliveries, including government mail and client documents.
  • Processing a high volume of mail and other deliveries promptly and accurately according to established protocols.
  • Maintaining a consistent, thorough organizational system for critical documents such as approval notices, work permits, and green cards.
  • Coordinating with members of the tech team as needed to ensure the integrity of mail-related data as entered automatically into the firm’s case management system.
  • Responding to requests from attorneys and support staff regarding incoming mail.
  • Preparing documents for pickup or delivery to clients upon request of the legal teams.
  • Serving as a back-up to the reception desk when the Office Administrator is unavailable.

Requirements:

  • 0-2 years of experience in an administrative or similar position
  • Bachelor’s degree completed or in progress
  • Excellent attention to detail and interpersonal skills
  • Strong organization and process skills
  • Coachability and willingness to learn
  • Openness to feedback
  • Comfort working in structured workflows with revisions
  • Computer literacy, especially with Microsoft applications (Outlook, Word, Excel, etc.)

Compensation & Work Location:

This is a part-time regular position based out of our office in Santa Monica, California. The pay rate for this role is $25 per hour.
