Part-Time Evening Finance Office Administrator - Trucking and Brokerage

We are seeking a detail-oriented Evening Finance Office Administrator to join our trucking and brokerage company. This part-time position will be responsible for managing essential administrative functions related to driver documentation, fuel management, and regulatory compliance.

Key Responsibilities:

  • Process and reconcile fuel receipts for accurate record-keeping and reimbursement.
  • Support basic book-keeping tasks on a day to day basis.
  • Maintain comprehensive driver files, including licenses, certifications, and medical records.
  • Monitor expiration dates and ensure timely renewal of driver documentation.
  • Prepare and assist with IFTA (International Fuel Tax Agreement) reporting.
  • Manage Highway Use Tax (HUT) documentation and reporting.
  • Verify driver logs and hours of service compliance.
  • Process trip-related documentation and paperwork.
  • Maintain organized filing systems for both digital and physical documents.
  • Assist with accounts payable/receivable related to fuel expenses.
  • Support dispatch operations as needed during evening hours.
  • Coordinate with drivers regarding documentation requirements.
  • Generate regular compliance reports for management review.

Required Qualifications:

  • High school diploma or equivalent.
  • Previous administrative experience, preferably in transportation or logistics.
  • Strong attention to detail and organizational skills.
  • Proficiency in Microsoft Office Suite (particularly Excel).
  • Experience with data entry and record keeping.
  • Ability to work independently during evening hours.
  • Strong communication skills for interacting with drivers and team members.

Preferred Qualifications:

  • Experience with transportation management software.
  • Knowledge of DOT regulations and compliance requirements.
  • Previous experience with IFTA and HUT reporting.
  • Familiarity with electronic logging devices (ELDs).
  • Understanding of trucking industry terminology and operations.
  • Experience with accounts payable/receivable.
