Job Description

Job Title: Human Resource Clerk

Department: Human Resources

Hour: 9:00am- 1:00pm, (Part-time position, 20-25 hours a week)

Bilingual skills (English/Spanish) are preferred.

Summary

Spanish Cove Retirement Village is seeking a highly organized, customer-focused Human Resources Clerk to support the day-to-day operations of the Human Resources Department. This position serves as the first point of contact for applicants, employees, and visitors while assisting with recruitment, on-boarding, personnel records, employee communications, and general administrative support.

The ideal candidate is detail-oriented, maintains strict confidentiality, possesses excellent customer service skills, and thrives in a fast-paced environment.

Essential Duties and Responsibilities

Duties include but are not limited to:

  • Assist with scheduling interviews for hiring managers.
  • Prepare interview packets and employment applications.
  • Process employment paperwork.
  • Coordinate pre-employment physicals, fingerprint appointments, and background checks.
  • Monitor applicant files to ensure all required hiring documentation has been received.
  • Assist with onboarding paperwork.
  • Answer incoming telephone calls and respond to routine HR questions.
  • Assist with employee events, appreciation activities, and wellness initiatives.
  • Prepare letters, forms, reports, and spreadsheets.
  • Assist with special HR projects as assigned.

  • Maintain confidential employee records in accordance with HIPAA and employment laws.
  • Assist with maintaining I-9 documentation.
  • File workers' compensation, FMLA, and other leave-related documentation.
  • Ensure employee files remain organized and audit ready.
  • Assist with maintaining HR databases and tracking spreadsheets.
  • Perform data entry with a high level of accuracy.
  • Provide exceptional customer service to employees, applicants, residents, and visitors.
  • Maintain professionalism and confidentiality when handling sensitive information.
  • Direct employees to appropriate resources regarding benefits, policies, and procedures.
  • Frequent lifting & moving. Must have the ability to lift, move, & transfer 50lbs with the physical capability to perform all job-related duties.
  • Promote a positive and welcoming Human Resources environment.
  • Other duties may be assigned.

Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed are representative of the knowledge, skill, and/or ability required. Bilingual skills (English/Spanish) are preferred.

Education and/or Experience

  • High School Diploma or GED required.
  • Associate degree in Human Resources, Business Administration, or a related field preferred.
  • One (1) year of administrative, clerical, customer service, or Human Resources experience preferred.
  • Experience in healthcare or long-term care is preferred but not required.

Computer Skills

To perform this job successfully, an individual should have knowledge of Microsoft Office (Excel, Word, Outlook, Adobe Acrobat, Human Resources Information Systems (HRIS) preferred, and Power Point). Must have ability to learn new software quickly.
