The Academy for Technology and the Classics is a grades 7-12 public charter school in Santa Fe, New Mexico serving approximately 400 students. Job Summary
The Athletics Administrative Assistant plays a key role in ensuring the efficient coordination of athletic programs, events, and communications while supporting student-athletes, coaches, families, and administrators. He/she has a basic understanding of administrative and clerical procedures/systems and the ability to multitask in a busy environment.
The successful candidate will provide administrative support to the Athletics Director by assisting with scheduling, communication, student eligibility monitoring, event preparation, record keeping, and other operational duties. This position requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.
This position may also support school administration, as needed, throughout the year.
Responsibilities and Duties
  • Assist with scheduling athletic contests, meetings, transportation, and facilities.
  • Serve as a point of contact for communication with administrators, coaches, families, students, officials, and community partners.
  • Support preparation and organization for home and away athletic events.
  • Collect, organize, and maintain student-athlete documentation, including physical examination forms, code of conduct agreements, and other required paperwork.
  • Monitor and document athletic eligibility requirements, including academic and participation records.
  • Maintain accurate records and databases related to athletic programs.
  • Assist with distribution of athletic information, schedules, and announcements.
  • Support inventory management of athletic equipment and supplies.
  • Prepare reports, correspondence, and other documents as requested.
  • Provide customer service to students, families, staff, and community members.
  • Perform other duties as assigned by the Athletic Director and school administration, such as scheduling other activities, supporting on site events, providing testing support, etc.

Requirements and Qualifications
  • High school diploma or equivalent required; associate's degree preferred.
  • Previous administrative, office, or school-based experience preferred.
  • Strong organizational and time-management skills.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace, Microsoft Office, and basic data management systems.
  • Ability to maintain confidentiality and professionalism.
  • Ability to work independently and collaboratively with a variety of stakeholders.
  • Familiarity with school athletics and eligibility requirements is preferred.
  • Being bilingual in Spanish preferred
