Job Summary and Responsibilities/Duties

Job Summary:
Serves as a front-desk receptionist for the Academic Advising & Transfer Center (AATC). Acts as the first point-of-contact for students, visitors, and college staff and faculty seeking services and support from academic advising. Answers phone and email inquiries, schedules appointments, and collaborates with AATC and Student Services Hub staff.
Essential Duties:
  1. Greets visitors, including students, faculty, staff, and guests, when the AATC is open to the public. Provides general information on MHCC services, and refers to other College and community support services as appropriate. Assists with resolving situations and concerns, and escalates to other staff as needed.
  2. Answers a high volume of calls, voicemails, and online inquiries for AATC. Conducts initial intake of caller and visitor needs to determine and provide appropriate services, scheduling, or information sought.
  3. Schedules, monitors, and manages appointments for AATC staff. Prepares and tracks appointment reminders, cancellations, and rescheduling.
  4. Maintains familiarity with services and programs provided at the College and external resources to efficiently refer students and visitors.
  5. Provides general office support including correspondence, project support, research, compiling and analyzing data, preparing reports, and recommendations for continuous improvement of AATC services.

Additional Duties:
  1. Helps ensure the cleanliness and organization of the office.
  2. Performs all other related duties as assigned.

Minimum and Desired Qualifications
Minimum Qualifications:
  • High school diploma or GED.
  • One (1) year of customer service experience.
  • Basic skills in Microsoft Office Word, Outlook and Excel.
  • Experience working with diverse individuals.

Preferred Qualifications:
  • Bilingual skills with fluency in English and Spanish, Slavic languages, Vietnamese, or other language that meets community needs.
  • Experience working in a college setting within student services.

Additional Qualifications and/or Knowledge, Skills and Abilities (KSAs)
Knowledge, Skills, and Abilities (KSAs):
  • Knowledge of community college systems and philosophy.
  • Knowledge of and ability to apply the College's interpretation of the Family Educational Rights and Privacy Act (FERPA).
  • Ability to communicate clearly and effectively, both orally and in writing, including active listening skills.
  • Ability to maintain the confidentiality of information.
  • Ability to effectively handle multiple tasks, priorities and changing deadlines.
  • Knowledge of curriculum program offerings at the college, in addition to policies and procedures relating to admissions, registration, testing and placement.
  • Knowledge of general financial aid info related to FAFSA process.
  • Ability to work well with individuals with diverse backgrounds.

Working Conditions and Important Information
Working Conditions:
This is an on-site position. Work is typically performed in a normal office environment working with a variety of people. Work environment is often noisy and crowded with students and staff. Occasional strain to the eyes while working with a computer terminal, in addition to infrequent lifting and carrying of items up to 10 lbs. Expect disruptions in work flow.
Salary Placement
Initial salary placement will be within the posted range or pay rate of the position, and is based on applicable education and/or years of relevant full-time equivalent experience at the sole discretion of the College and in accordance with all applicable state and federal laws. Please include all relevant education and full and part-time experience (including unpaid and volunteer experience) in your application that you want the College to review towards potential placement. Hired employees will not have an opportunity to update past education and/or experience or appeal initial placement after the time of hire.
