Administrative Assistant to President/CEO


Job Summary

We are seeking a highly organized and proactive Administrative Assistant to support the President/CEO with daily operations, communications, and administrative functions. This role also assists with event coordination and basic financial support, making it ideal for someone who thrives in a collaborative, mission-driven environment.


Responsibilities

  • Provide direct administrative support to the President/CEO
  • Manage calendars, schedule meetings, and coordinate logistics
  • Answer phones, manage emails, and respond to inquiries
  • Maintain organized digital and physical filing systems
  • Assist with basic bookkeeping (invoices, expense tracking, reimbursements)
  • Prepare meeting agendas, minutes, and board materials
  • Coordinate meetings, including logistics, setup, and materials
  • Assist with planning and execution of events, meetings, and seminars
  • Track event attendance, donations, and assist with reporting
  • Support donor communications and volunteer coordination
  • Assist with data entry and financial documentation
  • Utilize office systems and troubleshoot basic technical issues


Qualifications

  • High School Diploma required; Associate or Bachelor’s degree preferred
  • 3–5 years of administrative experience
  • Experience coordinating meetings or events
  • Strong written and verbal communication skills
