What is a part time executive assistant?

Part time executive assistants are professionals who provide administrative and organizational support to executives, managers, or departments on a part-time basis. Their responsibilities often include managing schedules, handling correspondence, arranging meetings, and performing various office tasks. Working part time allows them to offer flexibility to employers who may not require or cannot support a full-time assistant. Part time executive assistants must be highly organized, efficient, and able to prioritize tasks in a fast-paced environment. They may work in-person or remotely depending on the company's needs.

How does a part time executive assistant typically manage communication and workflow across varying schedules?

As a part-time executive assistant, managing communication and workflow efficiently is crucial, especially when you and your executive may not always be in the office at the same time. Most organizations use digital tools such as shared calendars, project management software, and instant messaging platforms to bridge schedule gaps. Proactive communication, thorough documentation, and setting clear expectations for response times help ensure tasks stay on track. Regular check-ins, even if brief or virtual, are also vital for maintaining alignment and supporting the executive effectively.

What are the key skills and qualifications needed to thrive as a part time executive assistant, and why are they important?

To thrive as a Part Time Executive Assistant, you need strong organizational skills, attention to detail, and proficiency in office administration, often backed by experience or a relevant associate’s degree. Familiarity with office software (like Microsoft Office Suite or Google Workspace), scheduling tools, and sometimes virtual meeting platforms is typically required. Outstanding communication, time management, and discretion are soft skills that help you build trust and efficiently support executives. These abilities ensure smooth operations, effective time management for leaders, and the professional handling of sensitive information.

How much does a part time executive assistant to a CEO make?

A part-time executive assistant to a CEO typically earns between $20 and $40 per hour, depending on experience, location, and responsibilities. Annual salaries can range from approximately $25,000 to $70,000 for those working a consistent schedule, with higher pay often associated with specialized skills or executive-level environments.

Is being a part time executive assistant a stressful job?

Part-time executive assistants often experience moderate stress levels due to managing multiple tasks, deadlines, and communication with executives. The job can be less stressful than full-time roles but still requires strong organizational skills and the ability to prioritize. Work environment and workload can influence stress levels significantly.

Job description

We're looking for a highly organized, detail-oriented Executive Administrative Assistant who isn’t afraid to take initiative, keep things running behind the scenes, and help our CEO stay in her creative zone.

This is a hybrid role that blends digital admin tasks with executive-level organization and scheduling support. If you're the kind of person who notices when a system needs tweaking, thrives on checklists, and secretly loves a well-planned content calendar- we want you.

Responsibilities:

  • Organize and manage the CEO’s task list and remind her of deadlines, approvals, and meetings
  • Format and proof content (emails, listings, spreadsheets) for approval
  • Maintain a running calendar of upcoming launches, events, and obligations
  • Assist in keeping the CEO focused, flowing, and out of admin overwhelm
  • Monitor communications and follow up on pending tasks across departments
  • Schedule and post content to social media using our content calendar
  • Upload and format podcast episodes weekly
  • Send push notifications and update our mobile app
  • Pitch in where needed in our small, family-owned business

Ideal Candidate:

  • Has experience in administrative, executive, or digital marketing support roles
  • Is a self-starter who can work independently and manage their own workflow
  • Can manage multiple priorities while keeping deadlines tight and clear
  • Is tech-savvy (familiar with Later, podcast platforms, Canva, and/or app dashboards is a plus)
  • Has an interest in witchcraft, metaphysics, or spiritual businesses
  • Drives and has access to their own car for tasks that may come up during the workday
  • Thrives in creative, fast-moving environments with a touch of chaos
  • Bonus points for photo editing skills, social media savvy, or light copywriting skills!

Schedule:

  • This is an in-person position based in Tucson, AZ (we are not looking for a virtual assistant)
  • Part-time: 18-20 hours per week to start (3 days per week)
  • Potential to grow into a larger role over time

About Us:

Inked Goddess Creations is a family-owned and operated online business that creates tools for modern, busy witches. We’re not your typical metaphysical store; we blend creativity, magick, and a little badassery into everything we do. From subscription boxes to online classes to live gemstone sales, we’re always casting new ideas into the world.

We’re growing, and we’re ready for someone to step in and help organize the chaos in the best way possible.

How to Apply:

Please submit your resume and thoughtful responses to the questions below. We want to get a feel for your personality, how you think, and what lights you up. Professionalism is important, but we’re not corporate- we’re witchy, weird, and driven.

Application Questions:

  1. Why do you want to work for a witchy business like Inked Goddess Creations?
  2. Describe a time when you helped keep someone organized or on task. What worked?
  3. How would you prioritize tasks if you were given multiple deadlines at once?
  4. What’s your experience with scheduling content or working with digital tools (e.g. Later, Canva, podcast platforms, Shopify)?
  5. Are you comfortable reminding someone daily or weekly about tasks they need to complete?
  6. What’s your ideal work environment or team vibe?
  7. What excites you most about this role—and what makes you nervous?

Company Description

Inked Goddess Creations is a fast-growing metaphysical business that creates and curates unique spiritual tools for modern magickal living.

Founded in 2013, Inked Goddess Creations offers handmade ritual products, a top-selling monthly subscription box, online classes, and large-scale events like Tucson's Witches’ Bazaar.
