Old St. Patrick's Church is a vibrant Catholic community in Chicago's West Loop, committed to answering God's call through radical inclusivity, beautiful worship, and transformative kinship. As a key member of the Old St. Patrick's Parish Ministry team working with our Music Department, you'll play a vital role in supporting a critical part of our mission.
This position is responsible for supporting the Director of Music with office presence, music preparation and maintenance, worship aid production, and other hospitality tasks. This role requires a passion for hospitality, strong organizational and computer skills, and the ability to manage multiple priorities with care and attention to detail. The ideal candidate will possess a team-oriented mindset and attention to timely delivery of materials.
Key Responsibilities
  • Produce and coordinate worship aids for regular, special, and seasonal liturgies using Adobe InDesign, including printing, assembly, and delivery.
  • Maintain required music licensing records and submit reports through One License.
  • Prepare, organize, distribute, and maintain choir music, binders, rehearsal materials, and music ministry spaces.
  • Manage music ministry calendars for rehearsals, events, funerals, memorials, and related facility setup needs using the OSP Calendaring Tool.
  • Provide administrative, logistical, and hospitality support for rehearsals, concerts, and other music ministry events.
  • Collaborate with staff, volunteers, and vendors to keep ministry materials and events accurate, timely, and welcoming, and provide general support to the Director of Music.

Worship Aids
  • Create, print and fold electronic worship aid files in Adobe InDesign for weekly Sunday liturgies (volume: 750-850), including trifold, large-print,and livestream versions, in consultation with the Director of Music and Director of Liturgy.
  • Create, print and fold worship aids as needed for the Mass of Healing, Holy Day Masses, Reconciliation services, and other liturgical celebrations.
  • Prepare larger worship aid booklets for Holy Week and Christmas and coordinate external printing when needed.
  • Coordinate the timely printing, folding, assembly, and delivery of worship aids, with assistance from staff or volunteers as appropriate.

Rehearsal Preparation & Support
  • Support Sunday Choir rehearsals by welcoming and checking in singers and assisting with setup and cleanup. Prepare, supply, and maintain music binders for Deck the Hall and Siamsa rehearsals, when applicable.
  • Provide rehearsal materials and assist with singer check-in and cleanup for concert rehearsals.

Hospitality and Event Management:
  • Manage the campus calendaring tool for music events, including scheduling and documenting setup needs for facilities staff.
  • Support the Kickoff Choir Cookout and Wedding Music Fair, including scheduling, event materials, volunteer coordination, hospitality, food arrangements, setup, and cleanup.

Additional Responsibilities
The following are additional responsibilities, with additional demonstrated skills, which could be considered. These responsibilities are in addition to the 16-hour role described above and would be compensated separately, if applicable and mutually agreeable.
Music Vocal/Cantor Leadership
  • Serve as alto section leader for two morning Masses per Sunday at the Director of Music's request.
  • Serve as cantor or sectional leader for Masses as needed, including Holy Days and special liturgies such as Christmas Eve, Christmas Day, Holy Week, Easter, and Thanksgiving, in dialogue with the Director of Music.
  • Sing at funerals and weddings, as requested.
  • Create wedding program worship aids for couples for an additional fee and outside the employee's music or pastoral care department hours.

Pastoral Care / Funerals
  • Work with families to plan funeral liturgies for members and friends of Old St. Patrick's in coordination with the Director of Music and Director of Pastoral Care.
  • Manage funeral scheduling in the campus calendar tool.
  • Create and print, or arrange printing of, funeral worship aids so they are delivered before visitation services.
  • Provide hospitality for funerals as assigned by the Director of Pastoral Care.

Qualifications
  • Practicing Roman Catholic with knowledge of and appreciation for the Catholic faith and tradition, excitement for music ministry, and a desire to be active in the Old St. Patrick's community.
  • Strong background in liturgical music; degree preferred.
  • Attention to detail and ability to maintain organized and accessible files in compliance with Catholic canonical requirements, once trainings are completed.
  • Proficiency with Google Workspace, Microsoft Office, and Adobe InDesign; ability to learn new software and use technology creatively to improve communication and workflow.
  • Strong organizational and time-management skills, with the ability to manage multiple tasks and deadlines successfully.
