Real Estate Headquarters is seeking a highly organized, dependable, and versatile Part-Time Property Management & Bookkeeping Specialist to join our team. While this position will be based in the Gold Seal Roofing office at our St. Petersburg location, the primary responsibilities will support the owners’ real estate and property management operations, along with occasional support for Gold Seal Roofing and the Children’s Sunshine Foundation.
This is a unique position for someone who enjoys variety, takes ownership of their responsibilities, and is comfortable moving between property management, bookkeeping, administrative tasks, and helping people.
Property Management Responsibilities
You will help oversee the day-to-day operations of our rental properties and serve as a primary point of contact for tenants and prospective residents.
Responsibilities include:
  • Communicating professionally and promptly with tenants
  • Monitoring rent payments and following up on outstanding balances
  • Receiving, coordinating, and tracking maintenance requests and work orders
  • Communicating with vendors and contractors regarding repairs
  • Listing available properties for rent and keeping listings current
  • Responding to rental inquiries and assisting prospective tenants
  • Coordinating move-ins and move-outs
  • Maintaining organized tenant, lease, and property records
  • Helping ensure issues are followed through to completion rather than simply passed along
  • Carrying the property management office phone and being available for property emergencies outside normal office hours
After-hours calls are not expected to be frequent, but because we manage occupied properties, occasional emergencies do happen. The person in this role must be comfortable being accessible when a situation requires immediate attention.
Bookkeeping & Administrative Responsibilities
A significant part of this position will involve bookkeeping and maintaining accurate financial records for the property management operation.
Responsibilities include:
  • Managing day-to-day bookkeeping using QuickBooks Online
  • Recording and categorizing income and expenses
  • Reconciling accounts
  • Maintaining organized electronic and physical financial records
  • Filing invoices, receipts, leases, statements, and supporting documentation
QuickBooks Online experience is required. Experience using classes, properties, or similar tracking methods for real estate and property management accounting is strongly preferred.

Children’s Sunshine Foundation
This position will also play a hands-on role supporting the Children’s Sunshine Foundation, our nonprofit organization that assists families traveling to the Tampa Bay area while their children receive medical treatment.
As new families are welcomed into the program, responsibilities may include:
  • Communicating with families before and during their stay
  • Meeting families and helping them get settled into their temporary housing
  • Serving as a friendly and dependable point of contact during their stay
Compassion, discretion, and strong communication skills are especially important in this part of the role. Families may be going through an incredibly difficult season, and we want their housing experience to be one thing they do not have to worry about.
Occasional Personal & General Support
Because this position works closely with the owners, there will occasionally be a small personal assistant component.
From time to time, you may be asked to help with simple errands or administrative tasks when the owners' schedules are particularly busy. This could include something as ordinary as picking up dry cleaning or picking up the dog from the groomer.
These requests are occasional and not a primary function of the position, but we want to be upfront about them. We are looking for someone who enjoys being part of a small, entrepreneurial environment where everyone occasionally pitches in when something needs to get done.

This is a part-time, in-office position of approximately 20–24 hours per week based at the Gold Seal Roofing office in St. Petersburg.
