Job Title:Part Time Administrative Assistant IDepartment:Provost OfficeJob Description:

The part-time (18.75 hours per week) administrative assistant supports the Lynne & Henry Turley Memphis Center. This role provides advanced secretarial and administrative support in an academic and community-engagement environment. The assistant reports to Dean for Community Engagement & Executive Director of The Lynne and Henry Turley Memphis Center.

Job Requirements:

  • High school diploma orGEDrequired; bachelor's degree preferred.

  • One year of administrative or clerical experience required preferably in higher education OR bachelor's degree required in lieu of experience.

  • This position requires a valid driver's license, a good driving record, and insurability by the College's insurance carrier.

  • Proficiency with MS Office required.

  • Excellent written and verbal communication skills required.

  • Demonstrated ability to multi-task and to work effectively and efficiently with faculty, staff, students, and off campus professionals required Demonstrated ability to organize numerous projects, work with attention to detail, consistently meet deadlines, and exercise professional judgment required.

  • Demonstrated ability to work with sensitive and confidential information required.

Job Responsibilities include but may not be limited to:

  • Assist with center program budgets and processes student payroll, travel and expense reports, check requests, and invoices and purchases for the center and affiliated programs in Workday.

  • Assist with student fellowship management in Give Pulse.

  • Assist in planning for and execution of meetings and events. Make office runs, orders, and purchases as necessary.

  • Establish and maintain paper and electronic filing and record keeping system; Monitor and maintain inventory of office supplies through Workday punchout system.

  • Handle routine office tasks such as greeting visitors, answering inquiries, and photocopying; Handle incoming and outgoing communications (phone, email, written correspondence) including prioritizing correspondence, drafting responses, and managing center mail activity.

  • Maintain staff and center calendars; schedule appointments and meetings in Microsoft Outlook.

  • Maintain website of TMC and affiliated programs, including online public events calendar under the supervision of TMC Director.

  • Operate and maintain a variety of office equipment including desktop and laptop computers, copiers, cameras, and video/recording equipment. Utilize appropriate software on the personal computer.

  • Serve as a member of Turley Memphis Center team to support and advance College priorities.

  • Coordinate student employees, including hiring, scheduling, and budget workload under the supervision of the TMC Associate Director.

  • Type and/or transcribe assigned materials including but not limited to correspondence and memoranda. Process queries for mass mailings.

  • Assist with events on some nights and weekends.

  • Other duties as assigned.
