Job description

The Cluster Parishes of Portsmouth & Chesapeake are seeking a Bookkeeper.

The Bookkeeper collaborates and functions in conjunction with the pastor, staff and finance councils. Communicates with these authorities in all financial matters concerning the Cluster parishes of St. Paul, Church of the Resurrection, Church of Holy Angels, St. Mary Church. Reflects the mission and philosophy of the Church in all communications with parishioners and staff.

Responsibilities and Tasks:

  • Calculate all employees' timecards/electronic punches and submit all hours to the diocese via UKG register received from the UKG program when downloaded.
  • Monitor use of personal leave and sick days of personnel
  • Coordinate employee salaries, insurance and retirement benefits
  • Assist pastor in maintaining personnel file updates.
  • Assist in money counter training.
  • Calculate Priest, Parochial Vicar and Priest Subs and submit mass intentions and payroll to the diocese via UKG.
  • Coordinate and perform bi-weekly payroll journal entries with the payroll. Maintaining accounts receivable (A/C - 2 parishes) and accounts payable (A/P) for all 4 parishes
  • Attend any staff meetings.
  • Diocesan trainings (when necessary)
  • Inform the Pastor and Finance Council of all reports (Income statements, Balance Sheets, and any General Ledgers necessary
  • Prepare and present committee reports as requested all 4 Church bank & investment accounts.
  • Perform bank reconciliations for all 4 Church bank & investment accounts
  • Prepare the end of year W-3's and any 1099's for all 3 churches and submit to the government agencies.
  • Assist and prepare the Church diocesan annual report with all census information at all parishes
