Administrative Coordinator 

The Administrative Coordinator-GME provides administrative coordination and programmatic support on a wide range of issues, projects, programs, academics and on matters of importance to Southwest Healthcare MEC. Represents the Consortium in a professional manner, exercising sound judgment, tact, and the utmost discretion. Has thorough understanding of the priorities and expectations of leadership and takes these into account in coordinating schedules. Manages calendars, assuring the designated individuals are fully briefed and have all relevant background materials for each engagement.

Essential Job Duties/Responsibilities:

  • GME Administrative Support:
    • Schedule appointments with designated individuals; anticipate potential conflicts and suggest alternatives. Schedule and reserve conference rooms or other facilities. Independently communicate on behalf of designated individuals, conveying information, political or confidential with tact and diplomacy. Proactively identify issues that warrant the awareness of the CAO/DIO, and/or Administrative Director of Graduate Medical Education (ADME).
    • Synthesizes and reviews information and briefs designated individuals in advance of meeting,
    • conferences, and travel, allowing sufficient time for review and assessment; prepare daily background files for each meeting on the calendars which includes the preparation of travel information such as detailed maps and contacts for meetings with external constituents.
    • Organize meetings including arrangements of locations/rooms, necessary audiovisual equipment, room set-up, food service, and notices/invitations, coordinate conference calls. Prepare agendas, take minutes, and follow-up on action items as
    • Exercise sound judgment, informed decision-making, concern for detail and timeliness, as well as appropriate discretion to deal with complex, confidential and sensitive Ability to work independently under general instruction on a wide variety of special projects, completing assignments within strict deadlines and with a high degree of accuracy.
    • Must be flexible, detail-oriented, thorough, self-starter with the ability to multi-task, anticipate, and prioritize well. Identify and take a pro-active approach to tasks
    • Serve as a liaison between the GME Office, Program Leadership, and hospital administration
    • Communicate institutional updates, deadlines, and expectations
    • Special Projects

Qualifications

EDUCATION/TRAINING/ EXPERIENCE:

  • Associate's degree from an accredited College or University in related field required
  • Bachelor's degree from an accredited College or University in related field preferred
  • Minimum two (2) years of recent experience working in a healthcare, hospital, university or similar healthcare or educational environment providing administrative support to Director level or higher positions preferred.

COMMUNICATION SKILLS: Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, regulatory or accreditation requirements. Ability to effectively present information and respond to questions from managers, clients, customers, and the public.

MATHEMATICAL SKILLS:  Basic to Intermediate Skills:  Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.  Ability to compute rate, ratio, and percent and to draw and interpret bar graphs. Ability to calculate figures and percentages.

REASONING ABILITY:  Intermediate to High Skills:  Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.  Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.

OTHER SKILLS AND ABILITIES: 

  • Demonstrates knowledge and ensures compliance with The Joint Commission and Title 22 standards and guidelines.
  • Demonstrates compliance with hospital policies and procedures at all times.
  • Ability to set priorities and appropriately organize workload and complete assignments in a timely manner.
  • Demonstrates ability to relate to clinical personnel and medical staff, as well as ability to interact well with the public.
  • Must have knowledge of PC and applications.
  • Demonstrates knowledge of the following computer applications:
