Job description

ABOUT THE ORGANIZATION

The National Resident Matching Program (NRMP) is a private, not-for-profit organization established in 1952 to provide a uniform date of appointment to positions in graduate medical education (GME) in the United States. The NRMP is not an application processing service; rather, it provides an impartial venue for matching applicants' and programs' preferences for each other consistently. The NRMP conducts the annual Main Residency Match encompassing 40,000 applicants for more than 25,000 positions in core residencies as well as Matches for fellowship positions in 55 subspecialties through its Specialties Matching Service.

POSITION SUMMARY

The NRMP Policy and Compliance team promotes and enforces the policies and procedures that protect the integrity of the Matching Program. The Compliance Analyst engages in effective oversight of case management activities to ensure consistent application and adherence by constituents to the rules and regulations outlined in the NRMP's Match Participation Agreements and related policies. The Compliance Analyst also supports the maintenance of accurate case management records and assists with constituent outreach efforts, mainly on matters related to promoting broad-based understanding of Match compliance.

Security and Privacy responsibilities are identified in the Acceptable Use Policy (AUP), which applies to all users, roles, and NRMP resources.

ESSENTIAL DUTIES AND RESPONSIBILITIES

Case Management

  • Process waiver reviews and violation investigations:
  • Manage and prioritize caseload, ensuring adherence with NRMP policy timelines
  • Correspond with all parties and collect all documentation for files; proactively identify/analyze gaps and follow up accordingly with parties to solicit additional information
    • Research/solicit feedback about policies of partner organizations when they contribute to understanding and processing of a case
    • Troubleshoot cases, as needed, with Director to ensure documentation is comprehensive and ready for executive leadership review
  • Prepare reports and documents and ensure accurate preparation of case files for panel review
  • Distribute reports to external parties. Maintain and/or update online systems to ensure accurate case log tracking

Records Management

  • Interface with the NRMP's case management system and matching software system

o Process intake forms; enter case data and information into electronic case management system in accordance with policy

  • Maintain accurate case log through prompt upload of transmittals, constituent statements, and support documentation as received

o Update records in the NRMP's matching software system to accurately reflect case activity

Inter-Departmental and Constituent Support/Engagement

  • Serve as primary point of contact for staff, Match participants, stakeholders, and other interested parties in responding to questions related to policy interpretation and compliance protocols
  • Assist in reviewing annual updates to Match Participation Agreements, policies, and Codes of Conduct
  • Work with Sr Compliance Analyst(s) on ad hoc projects as assigned, namely initiatives that increase policy awareness and understanding among staff and Match constituents

Miscellaneous

  • Support the Director in annual review, revision, and/or creation of department process documentation and maps
  • Support Operations team during peak periods and as directed

EDUCATION, QUALIFICATIONS, REQUIRED SKILLS

  • Bachelor's degree required, preferably in a policy, social science, or health-related discipline or experience determined to be equivalent
  • Three to five years of experience working in a compliance role and/or interpreting policy and regulating policy compliance, preferably in a medical or medical education-based organization
  • Excellent oral and written communication skills; proven experience in report writing
  • Excellent interpersonal and time-management skills
  • Proven ability to safeguard sensitive, often confidential information
  • Detailed-oriented, organized, and thorough
  • Ability to problem-solve through logic and trial and error; ability and willingness to learn new software and applications
  • Microsoft Office Suite


PREFERRED SKILLS

  • Experience using FileVine or similar case management software (Clio, Zola, PracticePanther, etc.)
  • Experience using online form software (Google Forms, JotForm, TypeForm, )

INTERACTIONS

External:

  • Frequent contact with NRMP Match participants, including teaching hospital officials, residency program directors, medical school student affairs deans, and applicants
  • Infrequent contact with legal counsel

Internal:

  • Serves as compliance liaison for staff in answering and/or interpreting broad-based policy questions.

ADA SPECIFICATIONS

This position is currently remote, but typically located in the Washington DC office, with occasional overnight travel. The role is primarily sedentary; may require some bending and lifting.
