Job Overview:

The Intellectual Property (IP) Operations Specialist will complete a wide variety of responsibilities and assignments in the IP Operations function that are crucial to the efficient and effective functioning of the IP Team including process implementation and improvement, reporting, data verification activities, and processing and tracking large quantities of information, all while using the IP management systems. The position will be a part of the IP Operations function and will work collaboratively with global IP professionals, legal operations, finance, outside counsel and internal stakeholders.

Responsibilities:

  • Design and implement new processes and improvements to existing processes to increase efficiency and productivity of the IP management process, in alignment with industry procedures.

  • Manage and complete projects aimed to improve IP management process and support IP Team goals.

  • Maintain and improve workflows across a suite of BD IP management systems such as Anaqua, AcclaimIP, and ideaPoint to improve efficiency and ensure accuracy of data.

  • Administer BD IP management systems (Anaqua/ideaPoint, AcclaimIP) to: ensure overall system functionality; configure templates and automated tasks; provide user access and technical support to internal and external partners; troubleshoot system issues and resolve user queries by drafting actionable bug reports; develop training and support materials; and ensure accurate data entry.

  • Analyze and process IP-related communications; resolve inquiries and requests from internal and external partners and develop protocols to proactively address recurring issues.

  • Develop and analyze reports and custom queries to meet needs of IP Team and other internal partners.

  • Provide assistance and back-up support as needed for miscellaneous tasks, such as record creation and minor docketing of prosecution and non-prosecution IP matters.

  • Interpret and advise on relevant BD policies and procedures; assist with carrying out outside counsel compliance with BD policies and procedures.

  • Maintain strong knowledge and understanding of department policies and procedures as they relate to the job function.

Education:

  • Bachelor's degree, paralegal certificate, or 3 years minimum of relevant work experience is Required. 3+ years of experience in patent docketing highly preferred.

Qualifications:

  • Knowledge of, or receptiveness to expanding knowledge of, patent and trademark lifecycle and processes, including invention, maintenance, prosecution procedures, annuities, terminology, and deadlines is preferred.

  • Experience developing legal management and docketing processes, including system configuration, preferably with IP matters is preferred.

  • Proficiency with software and technology, and the efficient use of software and technology for organization, reporting, and automating processes is preferred.

  • Demonstrated problem-solving skills with an ability to identify issues, develop, and implement creative solutions, and learn quickly is preferred.

  • Highly organized and diligent with accurate data entry, proofreading, and reading comprehension skills is preferred.

  • Experience using legal billing systems, legal document management systems, and patent websites (US Patent PAIR System, WIPO, EPO, etc.) is preferred.

  • Proficiency in Microsoft programs (MS Outlook, MS Excel, MS Word, MS PowerPoint, MS Power Automate, MS Power BI, MS Copilot, and Adobe) is preferred.

  • Professional demeanor and ability to collaborate cross-functionally within and outside of the company, and as part of a team is preferred.

  • Ability to work well under pressure and adjust quickly to changing priorities while maintaining a high level of productivity is preferred.
