Description

Under general supervision, the Legal Administrative Assistant performs a variety of specialized/complex secretarial and administrative support functions for two or more timekeepers, and performs other work as required.

Responsibilities

  • Manage attorney calendars, scheduling, travel arrangements, client meetings, conference calls, closings, conferences, and firm events.
  • Open new client and matter files and assist with intake, conflicts, matter setup, and administrative coordination throughout the matter lifecycle.
  • Prepare, proofread, redline, convert, and format correspondence, signature packets, closing documents, and attorney-directed materials.
  • Maintain client files, due diligence indexes, data rooms, transaction documents, NetDocuments, SharePoint, and file-sharing processes.
  • Coordinate document execution, signature routing, notarizations, DocuSign/Adobe Sign envelopes, and fully executed documents.
  • Track deadlines, checklists, closing calendars, outstanding items, and escalations.
  • Process expenses, reimbursements, check requests, deposits, credit card reconciliations, invoices, and billing-related matters.
  • Manage mail, overnight deliveries, certified mail, courier services, scanning, copying, indexing, and electronic filing of legal and business documents.
  • Serve as a professional and confidential point of contact for clients, third parties, attorneys, and internal teams by phone and email.
  • Apply firm cybersecurity, privacy, records-retention, and approved-technology policies when handling client information.
  • Provide backup coverage for other administrative professionals and support office-wide needs as required.

Requirements

  • Detail-oriented with strong organization, calendaring, multitasking, prioritization, and deadline-management skills.
  • Ability to exercise sound judgment, anticipate needs, take ownership of assignments, and follow through with limited supervision.
  • Advanced Word, Adobe Acrobat, proofreading, formatting, redlining, PDF, and document-production skills.
  • Familiarity with e-signature platforms, data rooms, entity-management systems, filing vendors, public-record search tools, and firm technology.
  • Excellent communication, client-service, confidentiality, professionalism, and teamwork skills.
  • Ability to follow detailed instructions and recognize when attorney review or escalation is required.

Qualifying Experience

  • Bachelor's degree or equivalent experience preferred.
  • 3+ years of legal administrative support experience, preferably in business law or related practice areas.
  • Experience supporting multiple attorneys in a fast-paced professional services environment.
  • Experience working with NetDocuments, SharePoint, virtual data rooms, or similar document management platforms is preferred.

Supervisory Responsibilities

No direct supervisory responsibilities. May coordinate vendors and provide task guidance or training to temporary or backup personnel as assigned.

Physical Requirements and Work Environment

Physical Requirements Regular standing, walking, sitting, bending, kneeling, pushing, pulling, reaching, speaking, and hearing. The role involves moving supplies, packages, furniture, equipment, files, and meeting materials and may require safe use of step stools or ladders.

Work Environment Hybrid professional office environment with regular use of computers, copiers, scanners, shipping equipment, audiovisual equipment, and other office devices. The role requires interaction with employees, clients, vendors, and building personnel. Noise levels are generally moderate.
