Job description

A warm and active family relocating from West Coast to Miami this August is seeking a capable and resourceful Personal & Family Assistant to support their household and personal life. Both parents are founder/CEOs working remotely, with a three-year-old son, an infant daughter, and a full-time nanny relocating with the family.

This is a wonderful opportunity for a career-driven professional who thrives in a dynamic environment and takes genuine pride in keeping a family's world running smoothly. The family is looking for a true right hand who can handle the complex logistics of an interstate move, manage household and personal administration on an ongoing basis, support meal planning and prep, and provide a consistent daily block of childcare alongside the family's full-time nanny.

The ideal candidate is proactive, meticulously organized, and comfortable wearing many hats without missing a beat. This is an in-person role based primarily at the family's home in Mid-Beach, with frequent driving for errands, airport runs, and family logistics. The family is looking for a long-term fit and hopes to find someone they can grow with as their household evolves.

Personal Assistant
• Lead the family's relocation to Miami end to end: coordinating with the building, shipping vehicles, and on-site presence at the apartment during the move. Pre-move travel to San Francisco may be required.
• Establish Florida residency: complete the full checklist (Declaration of Domicile, driver's licenses, vehicle registration, voter registration, address changes) and maintain documentation supporting the family's break from California residency, under the direction of the family's CPA
• Establish the family's provider network in Miami: pediatrician, family doctor, dentist, OB, dermatologist, optometrist, personal trainer, veterinary if needed, and handle related administration
• Manage calendars, scheduling, appointments, and itineraries — including the family's social calendar: hosting, events, kids' birthdays, and holidays
• Coordinate travel: flights, accommodations, transportation, packing logistics
• Coordinate household logistics: vendors, building, car maintenance, airport pickups, special projects
• Maintain a meticulously organized shared project tracker
• Handle correspondence, research, and personal errands
• Maintain a high level of discretion and professionalism at all times

Family Assistant
• Provide a consistent daily block of childcare (typically 2–3 hours) alongside the full-time nanny

• Flex into primary childcare coverage during the nanny's vacations — typically a day or two,

potentially up to a full week

• Occasional care for the family's bernedoodle (walks and feeding) as a supplement to the

family's dog walker

• House sit when the family is out of town: care for the dog, manage deliveries and vendors,

water plants, and keep the home running

• Plan and prepare meals; source groceries and household supplies

• Minimum of 5 years of experience in a personal assistant, family assistant, or household management role

• Demonstrated experience with childcare and genuine comfort supporting young children

• Experience with meal planning and preparation

• Exceptional organizational and time management skills with strong attention to detail

• Proficiency with digital tools for scheduling, task management, and communication

• Comfortable managing multiple priorities and shifting responsibilities with ease

• Strong communication skills and a proactive, solutions-oriented mindset

• Experience with travel coordination and complex household logistics

• Experience supporting a relocation, or comparable multi-month project, strongly preferred

• Based in Miami Beach or a close-in mainland neighborhood (South Beach, Mid-Beach, North Beach, Bal Harbour, Surfside, Bay Harbor Islands, Edgewater, Wynwood, Design District, or Downtown)

• Own reliable vehicle, valid driver's license, and clean driving record

• Comfortable driving for errands, airport runs, and family logistics throughout the workday

• Valid US work authorization

• Willingness to travel with or on behalf of the family as needed

• Strong verifiable references from comparable roles

• Comfortable with dogs

 • Depending on experience
 • Part time to start with strong potential to transition to full time
 • Travel compensation provided for overnight travel days
 • Prorated PTO
