Job description

Location: Irvine, California

Annual Base Salary Range: $70,000‑90,000, commensurate with candidate experience


About the Role

This role provides comprehensive support to our Founder, covering both corporate administrative responsibilities and personal‑family coordination. The Founder is launching a new US‑based venture and will be based full‑time in Irvine, with family relocating to Southern California. The Executive Assistant will work on‑site at our Irvine office. This is a non‑live‑in position.


Responsibilities

Corporate / Business Support

  • Manage the Founder’s work calendar; coordinate internal and external meetings and meeting logistics.
  • Arrange business travel including flights, hotels, ground transportation and full itineraries.
  • Prepare meeting‑related documentation and reconcile business‑trip expenses.
  • Complete other ad‑hoc administrative requests from the Founder; this role does not include deep business negotiation or project delivery duties.

Personal & Family Support

  • Coordinate household‑related matters for the Founder and family: medical and dental appointment scheduling, home‑service vendor coordination, property‑related follow‑up, home and auto insurance administration.
  • Manage logistics for children‑related needs: school research and enrollment support, extracurricular activity planning and transportation coordination.
  • Plan and book family‑related travel, itineraries and accommodations.
  • Coordinate household orders, track recurring bills and organize personal‑family expense records.
  • Research and vet local service resources throughout Irvine and Southern California.
  • Maintain strict confidentiality of all private family and personal information.
  • Complete other personal‑lifestyle assignments as requested by the Founder.

Requirements

  • Must be authorized to work full‑time in the United States.
  • Fluent written and spoken Mandarin and English. Familiarity with Irvine / Southern California local ecosystem and Chinese‑speaking household cultural context is a strong plus.
  • Valid US driver’s license with a clean driving record.
  • Bachelor’s degree. 1‑3 years of relevant professional experience preferred; candidates with strong transferable administrative‑coordination backgrounds will also be considered.
  • Exceptional multi‑tasking and time‑management capabilities; detail‑oriented, proactive and able to perform well under shifting priorities.
  • High level of discretion, strict confidentiality and clear work boundaries; comfortable supporting both corporate business and personal‑family tasks.
  • Able to work full‑time on‑site at our Irvine office location.

  • Overtime compensation will be provided in full compliance with California labor laws for hours worked outside standard working hours.
