Job description


Primary Duties And Responsibilities
The Medical Assistant (MA) Lead is responsible for tasks that ensure smooth patient access and flow. Responsibilities include recording patient information such as vital signs, weight and changes in medical history, preparing items necessary for the visit like consents and special equipment, and assisting the provider during the examinations. Cleans and prepares exam rooms and sterilizes instruments per protocol, prepares and administers medications for patients as directed by the physician and completes prescription refills. Follows standardized procedures for giving injections to patients. Keeps the office running smoothly by answering phones, greeting patients, updating medical charts and records, handles pre-authorization process, matches patients' insurance information with correct provider for the services needed, and orders laboratory services. The Medical Assistant provides updates to the staff and patients on timing and status for all the above tasks and ensures even patient flow and continuous communication within Hoag and referring physician offices. Protects patient confidentiality and follows procedures for handling confidential information. Performs other duties as assigned.
Additionally, the lead coaches and directs activities of Back Office Assistants to ensure smooth operations. Counsels and/or assists with progressive disciplinary process as needed and coaches to correct deficiencies/improve performance. Coordinates/participates in the interview and selection process of new Back Office Assistant team members. Verifies daily/weekly/monthly logs. Responsible for monitoring patient flow. Performs other duties as assigned.
May be required to start at a different location throughout the workweek or travel to multiple sites.
Oncology and Specialty Clinics: Follows clinic guidelines for handling instruments and equipment utilized in clinic procedures.
Qualifications
Education and Experience
  • High school graduate or equivalent or GED
  • Graduate of Medical Assistant program OR equivalent work experience
  • Three plus years in healthcare-related field AND a minimum of three plus years previous experience within an acute healthcare system environment
  • Intermediate keyboarding skills and knowledge of Microsoft Office Suite, including Outlook, Word and Excel
  • Knowledge of medical terminology

Preferred:
  • Associate or Bachelors' degree in healthcare-related field
  • Working Knowledge of EPIC or other Electronic Medical Record system 'EMR'
  • Qualified bilingual or multilingual candidates

Certifications Required
Current BLS (AHA) Certification
Pain Management Center:
National Certified Phlebotomy Technician (NCPT) or California specific CPT I
Diabetes Center
CPTI-CPT-Certified Phlebotomy Technician
(Employees hired into role prior to 3/16/2025 are grandfathered into their position and must obtain the CPTI within 210 days to remain in their position)
